Full job description

Description

Reporting to the Office Manager you will be required to deal directly with work-based representatives, external enquiries and undertake all aspects of the administration function for the smooth running of the branch.

Key Responsibilities

Assisting in the smooth running of day-to-day business
Manage the membership via the database, proactively and in accordance with members notifications and subscriptions for ‘new, amend and end’, ensuring GDPR compliance.
Assist with the administration of the Group Insurance scheme for serving officers, retired officers and police staff.
Distribute information to all new recruits, transferees, and police staff. Review and follow up for returns.
Answering both email & telephone enquiries.
Providing administrative assistance to the full-time Board Principal Officers, including taking minutes at meetings as directed by the Office Manager when required and where practical.
Update and maintain the Branch website at the direction of the Office Manager
Housekeeping, hospitality, and reception duties in conjunction with the Office Manager.
In the Office Manager’s absence, deputising for the Office Manager when required
Any other relevant duties as directed by the Office Manager and/ or Branch Secretary

Skills, Knowledge and Expertise

Excellent organisational skills
Attention to detail
Good communication skills; written and verbal
Ability to deal with issues as they arise
Able to prioritise workload
Ability to work both alone and as part of a team
Understand the importance of and maintain confidentiality and integrity
Customer Service experience
Good knowledge of MS Office including Outlook, Excel and Word
Positive friendly manner

from time to time in line with the reasonable requirements of the Police Federation and as

directed by the line manager, on behalf of the Branch.
