About the Role
Howe Green House School is seeking an organised and proactive Operations Officer to oversee the day-to-day operational management of the school site.
This is a key role responsible for ensuring the school is safe, compliant and well maintained, providing an environment where pupils, staff and visitors can thrive. The successful candidate will manage site operations, coordinate contractors and service providers, oversee health and safety compliance, and ensure the smooth running of the school's facilities.
This varied role requires someone who can work independently, prioritise effectively and communicate confidently with staff, contractors, local authorities and external organisations.
Key Responsibilities:
Health & Safety and Compliance
- Lead the school's operational health and safety responsibilities across the site.
- Lead the school's operational compliance, ensuring all statutory inspections, servicing and testing are completed within required timescales, including fire safety, electrical, water hygiene and other premises compliance requirements.
- Maintain the school's compliance records and planned maintenance schedules.
- Ensure site risk assessments are created, reviewed and communicated appropriately.
- Act as Fire Marshal, coordinating fire safety arrangements and organising and recording termly fire drills.
- Keep up to date with ISI inspection requirements and ensure operational policies and procedures remain compliant.
Site and Facilities Management
- Manage the maintenance and upkeep of the school's buildings, grounds and services.
- Coordinate planned and reactive maintenance, ensuring issues are resolved promptly and effectively.
- Act as the first point of contact for staff reporting premises and maintenance issues, ensuring clear communication through to resolution.
- Oversee utilities, plant, heating, lighting, ventilation across the premises
- Liaise with local authorities, statutory bodies and other external organisations where required.
Contractor and Service Management
- Manage the school's approved contractor and supplier register, ensuring all required documentation, insurance and compliance records are maintained.
- Coordinate contractor onboarding and monitor works carried out on site.
- Obtain competitive quotations for maintenance and improvement works, providing recommendations to the Co-Headteachers and Finance Officer.
- Manage contracts and day-to-day relationships with the school's cleaning, catering and grounds maintenance providers.
- Plan and coordinate the work of the Caretaking team, setting priorities, allocating tasks and monitoring completion.
Operational Administration
- Manage school lettings, including external hirers and holiday clubs.
- Coordinate insurance claims relating to the school site, liaising with insurers, loss adjusters and contractors where required.
- Maintain accurate records of maintenance, compliance, inspections and operational activities to support audit and inspection requirements.
PERSON SPECIFICATION
The successful candidate will:
- Be highly organised with excellent attention to detail.
- Be able to manage competing priorities and work independently.
- Be a clear and confident communicator who can build positive working relationships with staff, contractors and external agencies.
- Have experience in operations, facilities, estates or compliance management, ideally within an education or similar environment.
- Have a good understanding of health and safety legislation and statutory compliance requirements.
- Be confident using IT systems to manage records and operational workflows.
- Be proactive, practical and able to see tasks through to completion.
