Full job description

Maternity Leave Cover – Sales & Office Administrator

Key Responsibilities

Sales Administration

Prepare and issue accurate customer quotations and follow up as required.
Process sales orders and check customer purchase orders for accuracy.
Liaise with Sales and Operations to resolve order queries or discrepancies.
Maintain accurate customer, quotation and order records on Statii.
Record quotation outcomes and reasons for lost business.
Keep management informed of order amendments, cancellations and customer issues.
Assist the Sales Team with customer enquiries, pricing and product information.
Prepare sales reports and administrative documentation as required.

Customer Service

Provide a professional and friendly service to customers.
Respond promptly to telephone calls and emails.
Maintain positive customer relationships.
Escalate customer issues where appropriate.

Office Administration

Carry out general office administration and filing.
Prepare correspondence, reports and documentation.
Maintain company records and databases.
Order stationery.
Provide administrative support to other departments as required.

Marketing & Certification

Assist with website, social media and marketing activities.
Support the preparation of marketing materials.
Prepare and issue customer certification and maintain accurate records.
Assist with quality and compliance documentation when required.

Finance Support

Assist with customer payments, payment allocation and credit control.
Provide general administrative support to the Accounts Team.

Systems

The successful candidate will be expected to become proficient in:

Statii CRM/ERP(training will be provided)
Microsoft Excel, Word and Outlook
Company telephone system

Maternity Leave Cover

This role is offered as maternity leave cover and will provide support across sales administration, customer service and general office administration to ensure continuity of business operations during the maternity leave period.

Salary

Negotiable depending on experience

The duties listed above are not exhaustive. During quieter periods, the employee may be required to support other departments, assist with company projects and undertake other reasonable duties as requested by management.
