Job Title: Operations Coordinator – Cleaning & Facilities Services

This job is currently temporary until end of September with potential to continue if business demands

Job Summary:

The Operations Coordinator provides administrative and operational support to the Area Manager, ensuring the efficient delivery of cleaning and facilities services across a portfolio of hotel contracts. The role is responsible for coordinating day-to-day operational activities, maintaining compliance documentation, supporting workforce planning, monitoring service performance, and acting as a key liaison between site teams, clients, and internal departments.

This position plays an essential role in maintaining high service standards, ensuring contractual compliance, and supporting continuous improvement across all hotel operations.

Key Responsibilities:

Support the Area Manager in the day-to-day management of hotel cleaning contracts.
Coordinate operational activities to ensure all contracts are delivered in accordance with company standards and client requirements.
Maintain accurate records, operational reports, compliance documentation, audits, and KPIs.
Prepare staff rotas, monitor attendance, annual leave, training records, and workforce planning.
Assist with recruitment administration, onboarding, uniform distribution, and employee documentation.
Monitor cleaning schedules, periodic tasks, and service delivery across multiple hotel locations.
Liaise with hotel management, supervisors, and internal departments to ensure effective communication and prompt resolution of operational issues.
Support quality inspections, client audits, and compliance checks, ensuring corrective actions are implemented.
Coordinate ordering and stock control of cleaning chemicals, consumables, equipment, and PPE.
Produce operational reports, performance data, and management information for the Area Manager.
Ensure Health & Safety procedures, COSHH requirements, and company policies are followed across all sites.
Support implementation of environmentally sustainable cleaning practices and company initiatives.
Assist with mobilisation of new contracts and operational projects as required.
Respond promptly to client requests and operational emergencies, ensuring service continuity.

Skills & Experience:

Previous experience within cleaning, facilities management, hospitality, or contract support.
Experience coordinating multiple operational activities in a fast-paced environment.
Strong administrative and organisational skills with excellent attention to detail.
Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
Ability to analyse operational information and produce accurate reports.
Excellent communication and relationship-building skills.
Strong time management with the ability to prioritise competing workloads.
Ability to work independently while supporting operational management.
Knowledge of Health & Safety, COSHH, and cleaning industry best practices is desirable.
