Full job description

Role Overview

We are seeking an experienced and highly organised Practice Administrator to join our friendly and growing practice. The role is to provide high quality client servicing and business submission support to the Senior Partner and wider advisory team whilst assisting with report writing, post meeting actions and preparing business cases for submission. This is a diverse role and would suit someone who thrives on variety and who enjoys a mixed role of both client and administrative work.

Key Duties and Responsibilities

Provide comprehensive administrative and servicing support to the Senior Partner and two advisers, helping the practice to deliver an exceptional client experience at every stage of the advice journey
Manage all client queries professionally and compliantly, including client withdrawals and/or day to day servicing requests
Handling any new business pre and post submission requirements including, but not limited to, drafting illustrations, AML requirements, report prep, business submission and all post submission follow up work
Drafting client documentation including simple suitability letters such as annual review, fund switch/es and withdrawal SLs, drafting template reports and assisting with client forms, where required
Ensuring all business cases and client letters are complete/compliant before submission
Assisting with any pre and post client review meeting tasks that may be required including performance charts, downloading reports, reviewing previous meeting actions and/or diarising any follow up actions
Help prepare protection quotations and/or running simple allowance calculations when required (training will be provided)
Maintaining and updating all client records on key CRM systems where applicable
Assisting the advisers with their new business pipeline and ensuring key systems are kept up date during all stages of the advice journey
Proactively assisting the Practice Manager with any tasks to facilitate the smooth day to day running of the business including correspondence, documents or other client facing comms that may be required from time to time
Liaising with all internal team members, clients and third parties (verbally and in writing) in a professional and polite manner
Actioning any assigned tasks in a proactive and timely manner whilst keeping task lists and work reports up to date
Assisting with adhoc data gathering and liaising with third party providers (where necessary)
Adhere to FCA, Anti-Money Laundering, Consumer Duty and GDPR protocols at all times
Liaising with SJP’s Admin Centres and wider support departments when required
Using all SJP and other CRM systems compliantly (full training to be provided)

Essential Requirements

Previous experience within an SJP practice preferred (min of 12 months), OR at least 2 years’ experience in an established wealth management or IFA environment within Financial Services
Excellent knowledge of financial services administration processes
Working knowledge of FCA regulatory requirements and Consumer Duty
Proactive, able to work independently and manage multiple priorities in a methodical and timely manner
Must be I.T. proficient with key Microsoft systems including Excel, Word, Outlook and PowerPoint
Comfortable speaking with HNW and UHNW clientele

Candidate Attributes

Approachable and professional with a positive ‘can do’ approach to work and tasks
Must be self-motivated with exceptional organisation and time management skills
High level of accuracy and excellent attention to detail including quality checking
Excellent written and verbal communication skills
Experience using Salesforce or other CRM system (highly advantageous)
Open to change with a creative approach to problem solving and feedback processes
Able to ‘think on your feet’ and keeping calm under pressure, especially when handling conflicting work demands
Must demonstrate an ongoing commitment to learning and self-development
Working as part of a team and collectively focusing on practice goals whilst working towards key deliverables

Hybrid

This role is hybrid with 4 days in the office (EC3) and 1 day WFH.

Pay: £34,000.00-£36,000.00 per year
