Job Overview
We are seeking a highly organised and proactive Executive Assistant to support the Director in managing daily operations and strategic initiatives. This role requires exceptional communication skills, attention to detail, and the ability to handle a diverse range of administrative tasks efficiently. The successful candidate will play a vital part in ensuring the smooth functioning of the executive office, facilitating effective decision-making, and maintaining professional relationships internally and externally.

Responsibilities

Manage the Director’s calendar, scheduling meetings, appointments, and travel arrangements with precision.
Prepare and organise correspondence, reports, presentations, and other documentation as required.
Act as the first point of contact for internal teams and external stakeholders, screening calls and emails professionally.
Coordinate meetings, including logistics, agendas, minute-taking, and follow-up actions.
Assist in preparing briefing materials and research on various topics relevant to the Director’s responsibilities.
Handle confidential information with discretion and integrity at all times.
Support special projects by conducting research, compiling data, and liaising with relevant departments.
Organise events or functions as needed to promote organisational objectives.
Maintain an organised filing system both digitally and physically to ensure easy access to information.

Experience

Proven experience as an Executive Assistant or similar administrative role supporting senior management or directors.
Excellent organisational skills with the ability to prioritise tasks effectively under pressure.
Strong written and verbal communication skills in British English.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with calendar management tools.
Demonstrated ability to handle sensitive information with confidentiality.
Exceptional attention to detail combined with proactive problem-solving abilities.
Ability to work independently with minimal supervision while managing multiple tasks efficiently.
