Overview
We are seeking a friendly, organised, and customer-focused Receptionist / Administrator / Customer Service Representative to join our dealership team. This role is the first point of contact for customers and plays a key part in delivering an exceptional customer experience while providing administrative support across the dealership. The successful candidate will be professional, proactive, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Reception
- Welcome customers and visitors in a professional and friendly manner.
- Answer and direct incoming telephone calls promptly and courteously.
- Manage customer enquiries and ensure they are directed to the appropriate department.
- Maintain a clean, organised, and welcoming reception area.
- Coordinate customer appointments and assist with scheduling.
Administration
- Perform a variety of administrative tasks, including filing, scanning, data entry, and document management.
- Prepare and process dealership paperwork accurately and efficiently.
- Maintain customer records and update dealership management systems.
- Assist with vehicle documentation, registrations, and compliance paperwork where required.
- Order and maintain office supplies.
- Support management and other departments with general administrative duties.
Customer Service
- Deliver outstanding customer service both in person and over the phone.
- Resolve customer enquiries efficiently or escalate issues when necessary.
- Follow up with customers regarding appointments, service updates, or documentation.
- Assist with customer satisfaction initiatives and feedback processes.
- Build positive relationships with customers to enhance their dealership experience.
General Duties
- Work collaboratively with the Sales department.
- Handle confidential information with discretion and professionalism.
- Ensure compliance with dealership policies and procedures.
- Contribute to maintaining a positive and professional workplace culture.
- Undertake other duties as reasonably required.
Skills and Experience
- Previous experience in a reception, administration, or customer service role.
- Excellent verbal and written communication skills.
- Strong organisational and time management abilities.
- High level of attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritise workload effectively.
- Professional presentation and positive attitude.
- Ability to work independently and as part of a team.
Desirable
- Experience working within the automotive or dealership industry.

Pay: £24,420.00-£38,751.72 per year
