Full job description

Overview
We are seeking a dedicated and detail-oriented Accounts Admin Assistant to join our growing team. We are looking for an ideal candidate to support the Demcom finance team and project operations, paying particular attention to cost capturing and project operations. This role is essential for supporting various administrative functions and will involve a variety of clerical tasks to enhance productivity.

Accounts Assistant – Role Profile

Job Title: Accounts Assistant
Location: Ely, CB7 4EG
Reports to: Finance Manager, Project Support Manager and Directors
Hours: Full-time or part-time considered (minimum of 25 hours per week)

Salary: £26K - £28K Pro Rata

Job Purpose

To support Demcom’s finance and project operations, with particular attention to accurate cost capture, project administration and the efficient processing of financial information.

Responsibilities

Purchase Ledger Data Entry

Accurately input purchase invoices into the accounting system.
Ensure purchase orders, receipts and deliveries are correctly matched to corresponding invoices.
Maintain and update supplier records and payment terms.
Reconcile supplier statements and investigate and resolve any discrepancies.

Project Cost Tracking

Assist with tracking project costs and ensure the correct allocation of costs to individual projects.
Support Project Managers with cost control and analysis for ongoing projects.

Sales Ledger

Assist with cash-flow management by supporting timely invoice payment collection.

Logging and Tracking Site Operations

Maintain accurate records of site operatives working across various projects, including attendance and hours worked.
Accurately record inter-company labour hours worked.

Payroll

Assist with employee time tracking and the preparation of accurate payroll information.
Assist with payroll processing and ensure relevant information is recorded accurately.

General Administrative Support

Provide general administrative support to the accounts and project management teams.
Assist with filing and organising project documentation, purchase orders, contracts and invoices.
Coordinate and communicate effectively with internal teams, clients and suppliers to support smooth operational processes.

Communication

The Accounts Assistant will communicate regularly with:

Directors, Managers and employees across the Demcom Group.
Suppliers.
Clients.

Skills & Competencies Required

Essential

Previous experience working in an accounts or bookkeeping role.
Experience within the construction industry is preferable.
Excellent attention to detail and a high level of accuracy.
Ability to work independently and use initiative where necessary.
Ability to work with and interpret high volumes of data.
Highly organised, with the ability to work effectively in a pressurised environment.
Effective written and verbal communication skills.
Commitment to demonstrating best practice at all times.
Proficiency in Xero and Microsoft Office.
A methodical and flexible approach to tasks.
Proactive approach to teamwork.
Ability to prioritise workloads effectively when faced with competing demands and deadlines.
