Job Summary
We are seeking a highly organized and detail-oriented Clinical Rota Co-ordinator / Administrator to join our healthcare administration team. The successful candidate will play a vital role in managing clinical staff rotas, ensuring efficient scheduling, and maintaining seamless communication across departments. This position requires a proactive approach to administrative tasks, excellent organizational skills, and the ability to handle sensitive information with professionalism. The ideal applicant will possess strong IT skills, including proficiency in Microsoft Office applications, and demonstrate exceptional communication and time management abilities.
Responsibilities
- Develop, maintain, and update clinical staff rotas to ensure optimal coverage for all departments.
- Utilize SystemOne, Microsoft Word, Excel, and Outlook to prepare schedules, reports, and correspondence efficiently.
- Ensure compliance with organizational policies and healthcare regulations related to staffing and scheduling.
- Manage administrative tasks such as data entry, record keeping, and generating reports related to staffing patterns.
- Communicate effectively with staff regarding schedule changes, updates, and important notices.
- Provide excellent customer service by addressing staff inquiries promptly and professionally.
- Support IT systems used for scheduling and administrative purposes, troubleshooting issues as needed.
Experience
- Prior experience in administrative roles within healthcare or similar environments is highly desirable.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
- Strong understanding of medical terminology is advantageous for effective communication within healthcare settings.
- Proven organizational skills with the ability to manage multiple priorities efficiently.
- Excellent communication skills in English, both written and verbal, are required for clear interaction with staff and management.
- Experience in handling sensitive information with confidentiality and professionalism is essential.
- Ability to adapt quickly to new IT systems or software used for scheduling and administration tasks.
