Who we are
Clear People is an HR consultancy for SMEs and founder-led businesses, the ones who need proper HR support but don't need, or want, a whole HR department.
We're led by two directors, with a team of HR Advisors behind them. We do the real work: contracts, grievances, restructures, absence, and the difficult conversations most business owners would rather not have on a Friday afternoon. Our clients stay with us because we're practical and we don't hide behind jargon.
We've grown quickly. The consequence of growing quickly is that the business behind the business is currently held together by four people remembering things. That's what this role is here to fix.
About the role
You'll be the person who keeps Clear People running.
Two directors and two HR Advisors, all billing time to clients, all generating administration. Your job is to take that off them and do it accurately and on time: the client paperwork, the HR letters, the file notes, the invoicing, the event logistics, the deadlines nobody has written down.
It's 25 to 30 hours a week, spread across five days rather than compressed into three or four. We'd prefer 30, but we'd rather have the right person at 25 than the wrong person at 30 so tell us what works for you and we'll talk about it.
Location: Right now the role is home-based, but we expect to open an office in Chichester in the next 6 months or so and once we do we'll want you there 3 days a week. So this isn't a permanently remote job, and you do need to live within commuting distance of Chichester.
What you'll be doing
HR administration. Drafting contracts and letters from our templates and from the Advisors' instructions. Turning transcribed meetings into clean, accurate file notes and letters. Updating policies and handbooks. Maintaining client HRIS records. Tracking probation dates, absence and deadlines across multiple client accounts. Accuracy matters more here than in most admin roles — these documents end up in real employment disputes.
Supporting the directors. Business terms, engagement letters, onboarding paperwork, renewals. General admin for two people who are usually in back-to-back client meetings. Booking and running the logistics for events and training. And keeping track of what's going on the deadlines, the commitments, the thing that was agreed on a call and would otherwise evaporate.
Invoicing and finance admin. Raising invoices through Xero, chasing the ones nobody's paid, keeping the records clean for the accountant, managing subscriptions and renewals.
Running our systems. We're a Microsoft business and we're rebuilding our SharePoint environment properly this year. You won't have to build it but you will own it once it's there: keeping the structure right, the permissions correct, the records up to date, and the rest of us actually using it. We'd also like you to make proper use of Copilot and show us how.
Who you are
- Supremely organised. Not “quite organised”. You're the person who has a system, the system works, and you can find anything in it in under a minute.
- Excellent attention to detail. You spot that the letter says “Monday 30th” when the 30th is a Tuesday.
- You know the difference between working autonomously and taking direction. This is the thing we care about most. Some work you'll be handed and we'll want it done our way an HR letter follows a form for good legal reasons and isn't the place for creative interpretation. Other work you'll spot the problem, find a solution and we wont even notice. Getting that judgement right, and asking rather than assuming, is what makes this role work.
- HR experience. You've drafted the letters, maintained the records, and you understand why confidentiality isn't a formality.
- Technically capable and happy to lean into AI. Confident in Microsoft 365, SharePoint, Teams, Outlook, Excel and genuinely interested in using Copilot to work faster, rather than nervous about it.
- Xero experience, or the confidence to get up to speed quickly.
- Someone who likes administration. Not as the boring bit before the interesting bit. We think it is the interesting bit, and we'd like to work with someone who agrees.
- Discreet. Constantly, without being reminded.

FTE Salary is £28 - £30k to be calculated on a pro rata basis.
Flexible hours: 25 - 30 hours a week over 5 days.
CIPD Level 3 is welcome but not essential. Judgement and accuracy matter more to us than the certificate.
Pay: £28,000.00-£30,000.00 per year
