Full job description

About the role

Legasea is looking for an IT & Business Support Administrator to join our team in Aberdeen.

This is a varied role combining client document production, business administration and first-line IT support.

IT support is an important part of the role, but this is not a full-time IT position. We expect approximately 20–30% of the role to involve IT and office technology support, depending on business requirements.

A significant part of the role will involve producing client document packs and Material Record Books (MRBs), along with routine business administration.

The right person will therefore be someone who is genuinely confident with computers, enjoys solving straightforward technical problems, and is also happy spending a substantial part of their working week producing and organising documents accurately and efficiently.

What you’ll be doing

Producing, formatting and assembling client document packs and MRBs.
Building and updating PowerPoint-based documentation.
Converting files to PDF and combining supporting documentation into complete client deliverables.
Checking documents for page order, presentation, file naming, legibility, completeness and obvious duplication.
Identifying missing or apparently incorrect documentation and referring queries to the appropriate project, quality or document-control colleague.
Maintaining document templates and looking for more efficient ways of completing repetitive document-production tasks.
Maintaining employee timekeeping records and following up discrepancies where required.
Placing routine orders for office supplies and other approved business requirements.
Raising straightforward purchase orders or providing purchasing cover where required.
Maintaining organised electronic files and records.
Setting up laptops and workstations for new employees.
Connecting and configuring monitors, docking stations, printers and other office peripherals.
Installing approved software and hardware.
Diagnosing straightforward Windows, Microsoft 365, printing, display and connectivity problems.
Helping colleagues with Word, Excel, PowerPoint, Outlook, Teams, PDFs and general file management.
Liaising with specialist or external IT support where an issue needs to be escalated.
Creating simple user guides, templates and checklists where useful.
Identifying opportunities to simplify, standardise or automate repetitive computer-based tasks.
Providing general business and administrative support to the Operations Director and wider Legasea team.

What we’re looking for

We are particularly interested in someone who is naturally confident with computers.

You do not need to be an experienced IT engineer, but we would like this person to bring a stronger level of technical ability than would normally be expected in a traditional administration role.

You might have gained this through an IT or computing qualification, an apprenticeship, junior IT support experience, or simply through practical experience setting up computers, troubleshooting problems and learning new software.

At the same time, you must be comfortable with the fact that IT support is only part of the role. Much of your working week will involve document production and business administration.

This role is unlikely to suit someone looking exclusively for a career in networking, cybersecurity, infrastructure or full-time IT support.

A realistic day might involve building a client document pack, helping a colleague whose second monitor is not working, updating timekeeping records, setting up a new employee’s laptop and then returning to the next client document pack.

Skills and experience

We would particularly like to hear from candidates who are comfortable with:

Microsoft 365 and Windows PCs.
Microsoft PowerPoint, Word and Excel.
PDF creation, editing, combining and document organisation.
Computer hardware and common office peripherals.
Monitors, docking stations and printers.
Software installation and configuration.
Straightforward desktop troubleshooting.
File structures, naming conventions and electronic document management.
Learning unfamiliar software and systems.
Identifying and solving routine technical problems independently.

Relevant IT or computing qualifications would be welcomed, including apprenticeships, HNC/HND courses, college or university computing courses or industry certifications.

However, practical ability is more important to us than any particular qualification.

Previous experience in administration, document production, engineering, energy or oil & gas would be useful but is not essential.

The person we’re looking for

You will be:

Highly computer literate and quick to learn new software.

Confident using PowerPoint and working with PDFs.

Logical and methodical when troubleshooting problems.

Comfortable setting up computers and office hardware.

Accurate and organised, with strong attention to detail.

Able to manage competing priorities and work independently.

Patient and approachable when helping colleagues who may be less confident with technology.

Comfortable with repetitive but important document-production work.

Interested in finding quicker and better ways of completing computer-based tasks.

Able to recognise when a technical problem can be investigated internally and when it should be escalated.

The successful candidate will work closely with colleagues across the business and report directly to the Operations Director.
