Main purpose of role
Produce accurate, complete and fully reconciled trial balances for the relevant RGE Group companies within the agreed month-end timetable.
Take ownership of the accounting process from the underlying ledgers through to trial balance, including journals, reconciliations, stock, work in progress, intercompany balances and control accounts.
Provide reliable cover for the payroll function and maintain RGE customs, excise and import VAT records and reconciliations.
Provide the completed trial balances and supporting schedules to the UK Financial Controller, who will retain responsibility for consolidation, management reporting, Directors' commentary, forecasting and presentation of results.
Month-End Accounting & Trial Balance Preparation
Manage the month-end timetable and complete all assigned close activities by the agreed deadlines.
Review the nominal ledger for completeness, cut-off, correct period recognition, unusual postings and unsupported balances.
Prepare and post month-end journals, including accruals, prepayments, payroll, depreciation, stock, work in progress, foreign currency and intercompany entries.
Review goods received not invoiced, deferred income and other timing-related balances and record any required adjustments.
Correct miscoding or inappropriate accounting treatments and investigate discrepancies before the period is finalised.
Submit fully reconciled trial balances and supporting files to the UK Financial Controller and respond promptly to review queries.
Balance Sheet Reconciliations & Financial Controls
Prepare monthly balance-sheet reconciliations for all assigned accounts, supported by clear and appropriate evidence.
Reconcile bank, payroll, VAT, fixed assets, stock, work in progress, intercompany, accrual, prepayment, suspense, clearing and other control accounts.
Review sales-ledger control accounts, unapplied cash, customer credit balances, bad-debt provisions and revenue cut-off as part of the close.
Investigate and resolve reconciling items promptly and maintain an action log for outstanding balances.
Ensure journals are clearly explained, appropriately supported and approved in accordance with Company procedures.
Escalate significant discrepancies, aged items or potential financial-reporting risks to the UK Financial Controller.
Bank, Fixed Assets & Capital Expenditure
Ensure all Group bank accounts are fully reconciled at month end and resolve unidentified receipts, unpresented payments and clearing items.
Maintain the fixed-asset register and reconcile it to the nominal ledger.
Review additions for correct capital or revenue classification and appropriate authorisation.
Record additions, disposals, transfers and assets under construction and calculate monthly depreciation.
Assist with periodic asset verification and identify obsolete, disposed of or impaired assets requiring adjustment.
Payroll Accounting & Payroll Cover
Prepare and post weekly and monthly payroll journals, as applicable, and reconcile payroll reports to the nominal ledger.
Reconcile gross pay, net pay, PAYE, National Insurance, pensions, statutory payments, deductions and payroll control accounts.
Provide accurate payroll processing cover during annual leave, absence or peak workload, including starters, leavers, pay changes, overtime and deductions.
Support payroll submissions, pension files and payroll-related payments where required.
Maintain strict confidentiality and ensure payroll information is appropriately authorised, processed and retained.
Stock, Work in Progress & Manufacturing Accounting
Reconcile raw materials, finished goods and other inventory records to the general ledger and investigate discrepancies or unusual movements.
Prepare stock and work-in-progress journals and maintain clear month-end supporting schedules.
Review work-in-progress balances, incomplete production orders and production postings for appropriate valuation and support.
Support stock counts, cycle counts and year-end inventory procedures and ensure adjustments are authorised and recorded.
Maintain slow-moving, obsolete and excess-stock provision calculations.
Review labour and machine overhead absorption, standard costs and material, labour and overhead variances from an accounting perspective.
Support the correct accounting treatment of scrap, regrind and recycled materials and liaise with operational teams to resolve differences.
Intercompany Accounting
Prepare and post intercompany invoices, journals, recharges, current-account movements and loan-account entries.
Reconcile intercompany trading, current-account and loan balances each month and ensure balances agree between Group entities.
Investigate differences promptly, including foreign-currency differences where applicable.
Provide agreed and reconciled balances to the UK Financial Controller for Group consolidation and liaise with RGE Baltic and other Group finance contacts.
Customs, Import VAT & Excise Records
Maintain a complete and accessible filing system for customs, import, export and excise documentation.
Retain customs declarations, commercial invoices, packing lists, transport documents, clearance instructions, import entries and freight-forwarder records for each transaction.
Obtain missing records from freight forwarders, customs agents, suppliers and internal departments and maintain a log of outstanding documents.
Reconcile the Company's duty and VAT deferment statements and accounts monthly. Reconcile postponed import VAT statements and postponed VAT accounting balances to customs declarations, the nominal ledger and the relevant VAT return monthly.
Reconcile C79 certificates where applicable and ensure import VAT, customs duty, freight and associated charges are correctly recorded.
Investigate differences, post required month-end adjustments and maintain a clear audit trail for HMRC enquiries, customs audits and VAT reviews.
VAT, Statutory Reporting & Audit Support
Assist with VAT return preparation and complete supporting VAT control-account reconciliations.
Review VAT treatment and investigate differences before submission.
Support PAYE, pension, tax, statistical, grant and other regulatory reconciliations or returns where required.
Prepare organised year-end schedules and supporting evidence for external audit and respond to queries promptly.
Support statutory-accounting information requirements and maintain complete, accessible audit evidence.
Systems, Processes & Finance Team Support
Use SAP Business One to maintain accurate accounting, inventory and manufacturing records and assist with resolving transaction or system issues.
Develop and maintain effective Excel reconciliations, month-end schedules and procedural notes.
Identify opportunities to strengthen controls, improve data quality and reduce unnecessary manual processing.
Work collaboratively with the Purchase Ledger Manager, Purchase Ledger Administrator, Accounts Receivable and other Finance colleagues without duplicating transactional responsibilities.
Coordinate the information required from the transactional Finance functions to complete the monthly trial balance.
Provide appropriate Finance cover during absence or peak workload and undertake other reasonable accounting duties.
Qualifications & Experience Essential
Part-qualified, finalist or qualified accountant through CIMA, ACCA or ACA, or qualified by relevant experience.
Experience in a Management Accountant, Assistant Management Accountant or similar month-end accounting role.
Demonstrable experience of taking accounts through to a complete and reconciled trial balance.
Strong practical knowledge of journals, accruals, prepayments, depreciation, control accounts and balance-sheet reconciliations.
Experience of stock, inventory or work-in-progress accounting.
Strong Microsoft Excel skills and experience of an ERP or integrated accounting system.
Ability to investigate discrepancies thoroughly, take ownership and meet strict recurring deadlines.
Desirable
Previous experience in a manufacturing, engineering or production-based environment - preferred but not essential.
Understanding of manufacturing accounting, including stock, work in progress, production orders, standard costs and overhead absorption.
Experience using SAP Business One or a similar manufacturing ERP system.
Experience processing weekly or monthly payroll and using Sage Payroll.
Experience of multi-company and intercompany accounting within an international Group.
Experience of customs documentation, duty deferment, postponed import VAT, C79 certificates or import VAT reconciliations.
Experience of VAT returns, fixed assets and external audit support.
