Operations & Growth Coordinator (Part-Time / Hybrid)

Hours: Approximately 20–25 hours per week initially (with scope to increase)
Employment Type: Part-time (PAYE or self-employed considered for the right candidate)
Salary: £16.00–£20.00 per hour, depending on experience, skills and the value you can bring to the business.

JALEX (Scotland) Ltd is a fast-growing property maintenance and refurbishment company working with hotels, commercial clients, property managers, developers and investors throughout Scotland. We deliver everything from reactive maintenance and insurance works to major refurbishments, compliance works and planned maintenance contracts.
As our business continues to grow, we're looking for someone who enjoys organising, improving systems, embracing technology and helping a company operate more efficiently.
This role offers genuine long-term progression and the opportunity to develop into a senior Operations or Business Support Manager position as the business expands.
About the Role
You'll work directly alongside the Director, helping to manage the day-to-day operation of the business while identifying ways to improve efficiency, streamline processes and support continued growth.
Your responsibilities are likely to include:
- Preparing professional quotations from site notes.
- Raising invoices and payment applications.
- Managing our Jobber CRM system.
- Supporting bookkeeping administration and liaising with our accountant.
- Payroll administration.
- Ordering materials and managing supplier relationships.
- Scheduling employees and subcontractors.
- Managing customer enquiries, emails and follow-up communication.
- Assisting with tender submissions and new business opportunities.
- Producing professional documents, procedures and operating systems.
- Supporting marketing and social media activity.
- Helping improve business systems, reporting and internal processes.
- Taking ownership of projects and identifying opportunities to improve the way we operate.
Hybrid Working
This is a hybrid position, not a fully remote role.
Much of the work can be completed from home, however the successful candidate must be willing to attend our office, construction sites and client meetings when required.
As the business grows, there will be times when face-to-face collaboration is important. Flexibility and a willingness to be involved in the business are essential.
Applicants should ideally be based within reasonable travelling distance of the Scottish Borders or Edinburgh.
AI & Technology
We're actively embracing AI throughout the business and see it playing a major role in how JALEX develops over the coming years.
We're particularly interested in candidates who already use tools such as ChatGPT, Microsoft Copilot or similar to improve the way they work.
Examples might include:
- Drafting professional emails, quotations and reports.
- Improving business systems and workflows.
- Reducing repetitive administration.
- Organising information more effectively.
- Supporting marketing and content creation.
- Creating procedures and documentation.
- Identifying opportunities to improve efficiency across the business.
A genuine interest in technology, automation and continuous improvement is essential.
About You

- Must have diving licence
Experience within construction, maintenance or property would be advantageous but isn't essential.
A full UK driving licence and access to a vehicle would also be beneficial.
