Job Title: GP Receptionist
Responsible to: Practice Manager / Reception Team Lead
Location: Willingham Surgery
Hours: Approx. 16 hours per week (plus annual leave and sickness cover)
Contract: Permanent
1. Job Purpose
Due to the practice expanding, we are looking for a friendly, motivated, and professional GP Receptionist to join our supportive team. This is a key front‑of‑house role, helping patients access the care they need and ensuring the smooth running of the surgery.

The GP Receptionist is a key member of the practice team, responsible for providing a friendly, efficient, and professional front‑of‑house service to patients. The role ensures patients are supported in accessing the appropriate healthcare professional or service, while maintaining confidentiality and delivering excellent customer care.
2. Key Responsibilities
Patient Reception & Front Desk Duties
- Welcome patients and visitors in a polite, caring, and professional manner.
- Manage patient queries in person, by telephone, and via digital platforms.
- Signpost patients appropriately according to practice protocols.
- Check patients in for appointments and update patient details as required.
Appointment Booking & Administration
- Manage appointment systems, including GP, nurse, clinic, and telephone appointments.
- Process appointment cancellations, rearrangements, and follow‑ups.
- Maintain accurate patient records using clinical systems (SystmOne)
Communication & Patient Support
- Respond to patient enquiries with empathy and professionalism.
- Communicate clearly and effectively with patients, carers, and external organisations.
- Escalate concerns, safeguarding issues, or complaints to the appropriate staff member.
Confidentiality & Data Protection
- Adhere strictly to patient confidentiality and GDPR requirements.
- Ensure secure handling of all patient information.
Administrative Support
- Assist with scanning, filing, updating records, and processing documents.
- Support reception team tasks
- Assist clinical staff with administrative tasks as required.
Teamwork & Practice Support
- Work collaboratively with the multi‑disciplinary team to ensure smooth running of the practice.
- Attend practice meetings, training sessions, and mandatory updates.
- Provide cover for colleagues during absences or peak workload periods.
3. Skills, Experience & Qualities
Essential
- Excellent communication and customer‑service skills.
- Strong organisational and multitasking abilities.
- Ability to remain calm under pressure in a busy environment.
- Good IT skills and willingness to learn clinical software systems.
- Ability to maintain confidentiality at all times.
- Professional, friendly, and approachable manner.
Desirable
- Experience working in a GP practice, medical reception, or healthcare environment.
- Knowledge of NHS systems, procedures, or medical terminology.
- Experience with SystmOne
4. Additional Requirements
