Full job description

Job Summary

We are seeking a highly organised and efficient Office Administrator to join our team. The successful candidate will be responsible for managing daily administrative tasks, ensuring smooth office operations, and providing exceptional support to staff and clients. This role offers an excellent opportunity for individuals with strong organisational skills and experience in office management to contribute to a professional environment.

Duties

Manage incoming calls with professional phone etiquette and direct them appropriately
Organise and maintain files, records, and documentation using digital and physical filing systems
Perform data entry tasks accurately using Microsoft Office, ServiceM8, and QuickBooks
Assist with scheduling appointments, meetings, and maintaining calendars for staff
Prepare correspondence, reports, and presentations as required
Handle invoicing, billing, and basic bookkeeping activities using QuickBooks
Support team members with administrative needs such as photocopying, scanning, and mailing
Ensure the office environment is tidy, organised, and welcoming for visitors

Qualifications

Proven office experience or administrative background
Strong computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and data entry skills for accurate record keeping
Demonstrated ability to communicate professionally via phone and email
Clerical experience is preferred but not essential; a proactive attitude is vital
Ability to work independently while supporting team objectives

Hours are flexible, usual 35 hour week.
