Main duties and responsibilities
An opportunity has arisen for an organised and customer-focused Administrative Assistant to support day-to-day operations within the School. In this varied role, you will provide routine administrative support including data entry, document preparation, filing, scanning and diary support, while maintaining accurate electronic and manual filing systems in line with audit, quality and data protection requirements. You will act as a first point of contact for enquiries, ensuring high-quality customer service, and escalating queries where appropriate.
You will contribute to a range of operational activities, including student record processing, programme support, tracking logs, and administrative workflows and you will provide administrative input to School-wide workflows such as enrolment, timetabling prep, assessment support, and student communications. You will also assist with scheduling meetings, booking rooms, preparing agendas, circulating papers, and taking simple meeting notes. You will support the delivery of administrative services across departments. You will be expected to acquire a good working knowledge relating to the administration of the departments, ensuring that effective administrative procedures are practised and maintained.
Skills and experience required
The ideal candidate will possess good IT skills, including the use of MSOffice and databases, and be numerate and literate. They will demonstrate a good understanding of customer care, including a polite, helpful and confident telephone manner. They will be able to collect, process and present data, with a methodical approach and attention to detail. The ability to work to tight deadlines and deal with conflicting priorities, and the ability to work accurately under pressure, is essential. The role requires the ability to deal with sensitive material with strict confidentiality. You will also demonstrate initiative and the ability to learn new skills.
Qualifications required
You will be educated with a minimum of five GCSEs or equivalent at grade C/4 or above including Mathematics and English, or proven professional work experience.
