First things first: What Exactly is the Hive?
The Hive is an independent, family-run dental clinic and onsite dental laboratory in central Bournemouth.
We have a one-surgery private clinic alongside a very busy dental laboratory. It’s an unusual combination, meaning this is definitely not your standard dental practice manager role.
We have clinicians, technicians, nurses, apprentices, patient appointments, laboratory deadlines and approximately 700 things happening at once. We need someone exceptionally organised, calm and methodical who gets genuine satisfaction from turning organised chaos into actual organisation.
You’ll work closely with the directors & Laboratory manager to keep everything running smoothly, support the team and help us grow without the entire operation becoming held together by Post-it notes, WhatsApp messages and good intentions.
So, What would you actually be doing?
Your responsibilities will include:
- Overseeing the day-to-day running of both the clinic and laboratory
- Supporting and managing our clinical, technical and administrative teams
- Coordinating rotas, annual leave, sickness and staff cover without accidentally leaving us with nobody in the building
- Keeping track of workloads, deadlines and workflow
- Making sure meetings result in actual actions, rather than simply another meeting
- Supporting recruitment, onboarding, appraisals and performance management
- Maintaining personnel records and training documentation
- Keeping policies, procedures and compliance documentation up to date
- Supporting CQC compliance and preparing for inspections without anyone needing to panic
- Monitoring patient service and helping to resolve complaints calmly and professionally
- Overseeing health and safety, safeguarding, infection control and risk assessments
- Reviewing our systems and finding better, more efficient ways of doing things
- Monitoring key performance indicators and producing reports that people can understand and actually use
- Coordinating with suppliers, contractors and external service providers
- Supporting the directors with business planning and future growth
- Generally being the person who knows what is happening, what needs to happen next and who was supposed to have done it last Tuesday
Is this basically a description of you?
You’ll probably enjoy this role if you are:
- Exceptionally organised and methodical
- Calm under pressure - or at least able to look calm while quietly opening a spreadsheet
- Confident managing people and having difficult conversations when necessary
- Able to prioritise when five people have independently informed you that their thing is the most urgent
- Strategic, practical and capable of seeing the bigger picture
- Someone who takes ownership and follows tasks through to completion
- Approachable and supportive while maintaining clear professional boundaries
- Comfortable working with policies, procedures and regulatory requirements
- Confident using digital systems and learning new software
- Naturally suspicious of a task that has no deadline, owner or documented process
- The sort of person who labels things without being asked
Previous dental management experience is strongly preferred. Experience within a dental laboratory or another regulated healthcare environment would be a definite advantage.
You don’t need to know how to make a denture. You do, however, need to be interested in understanding how both sides of the business work and comfortable hearing more conversations about teeth than you ever thought possible.
