Office Admin and Finance Coordinator
Part-Time – 24 Hours per Week
We are looking for an organised, reliable and proactive Office Admin and Finance Coordinator to support the smooth day-to-day running of the business.
This is a varied role covering general office administration, finance support, timesheet management and HR administration. You will work closely with managers and the wider team to ensure key administrative and financial processes are completed accurately and on time.
Key Responsibilities
Office Administration
- Manage general day-to-day office administration.
- Maintain accurate records, documents and filing systems.
- Manage correspondence, enquiries and general office communications.
- Prepare documents, reports and spreadsheets as required.
- Coordinate office supplies, equipment and general office requirements.
- Provide administrative support to managers and the wider team.
- Help maintain and improve internal administrative processes.
Finance Administration
- Support the day-to-day financial administration of the business.
- Process purchase invoices, expenses and other financial documentation.
- Assist with sales invoicing and monitoring outstanding payments.
- Maintain accurate financial records.
- Liaise with suppliers, customers and external accountants or bookkeepers where required.
- Assist with reconciliations and preparation of financial information.
- Provide administrative support for payroll and month-end processes.
Timesheets
- Manage the collection and checking of employee timesheets.
- Ensure timesheets are submitted accurately and on time.
- Follow up on missing or incorrect timesheets.
- Maintain records of hours worked, overtime, holidays and absences where required.
- Prepare timesheet information for payroll processing.
HR Administration
- Support managers with general HR administration.
- Maintain accurate and confidential employee records.
- Assist with recruitment administration and arranging interviews.
- Coordinate new starter documentation and onboarding.
- Prepare HR letters and employee documentation as required.
- Maintain holiday, sickness and absence records.
- Support leaver administration and documentation.
- Assist with maintaining HR policies and procedures.
- Liaise with external HR advisers where required.
About You
The successful candidate will be:
- Highly organised with strong attention to detail.
- Reliable, professional and able to work independently.
- Confident managing a varied workload and competing priorities.
- Comfortable working with financial information and spreadsheets.
- Experienced in office or finance administration.
- Confident communicating with employees, managers, customers and suppliers.
- Discreet and able to handle confidential information.
- Proficient in Microsoft Office, particularly Excel, Word and Outlook.
- Proactive and willing to take ownership of administrative tasks.
Previous experience in finance administration, payroll, timesheets or HR administration would be advantageous.
Hours
24 hours per week
There is some flexibility around how the hours are worked, which can be discussed with the successful candidate.
Pay: From £13.50 per hour
