The Cosmedic House is a busy, nurse-led aesthetics and skin clinic based in Billericay. We pride ourselves on safe and natural results whilst providing ethical treatments alongside a warm, professional and highly personalised experience.
We are looking for a friendly, organised and confident Front of House & Clinic Coordinator to become an important part of our growing team. You will be the first point of contact for our clients and will help ensure that each clinic day runs smoothly from beginning to end.
The role
This is a varied position combining client care, reception duties and day-to-day clinic coordination. The right person will be approachable and polished, with excellent attention to detail and the ability to remain calm and organised in a busy environment.
Your responsibilities will include:
- Welcoming clients and creating a warm, professional first impression
- Managing telephone, email and social media enquiries
- Booking, rescheduling and confirming appointments
- Responding to general treatment and pricing enquiries within your level of responsibility
- Taking payments and maintaining accurate client records
- Coordinating appointment flow and supporting practitioners throughout the clinic day
- Managing waiting lists, cancellations and diary gaps
- Following up enquiries and helping clients arrange consultations and treatment plans
- Ensuring consent forms and relevant documentation have been completed
- Preparing treatment rooms and keeping reception and communal areas immaculate
- Monitoring clinic supplies and assisting with stock checks and orders
- Supporting clinic promotions, events and content creation
- Completing general administrative tasks
- Maintaining strict client confidentiality at all times
- Helping us continually improve the client experience
- Helping with our social media channels
- Helping with audits and spreadsheets related to the running of the business
About you
We are looking for someone who:
- Has excellent communication and customer service skills
- Is warm, welcoming and confident speaking with clients
- Is highly organised and able to manage competing priorities
- Has strong attention to detail
- Is comfortable using booking systems, email and social media
- Is proactive and able to work without constant supervision
- Remains calm and professional when managing sensitive situations
- Understands the importance of discretion and confidentiality
- Is reliable, punctual and committed to being part of a close-knit team
- Has a genuine interest in aesthetics, skincare and client wellbeing
Previous experience in a reception, clinic, beauty, healthcare, hospitality or luxury customer-service role would be beneficial, although full training on our systems and treatments will be provided.
