Experience: 3 years+ in business relationship, client service or client management roles, with a significant length of varied experience in event planning and management. A particularly strong administrative foundation is a priority for the role.
Role Purpose
Armstrong Wolfe is an expanding organisation that is seeking an iCOOC Community Event Manager to support the planning, administration and delivery of its global International COO Community event programme. The role will focus on coordinating high-quality roundtables, dinners, forums, cluster calls and member engagements that connect senior COO, CCO, CAO, Chief of Staff and business management leaders across financial services. Working closely with the COO, relationship managers and wider Armstrong Wolfe team, the successful candidate will provide strong administrative control, clear communication, detailed event coordination and trusted senior stakeholder support. This position is central to ensuring the iCOOC programme is professionally organised, globally consistent, commercially relevant and valuable to members, converting community engagement into well-managed events, meaningful follow-up and measurable membership value. The role is anticipated to start in the fourth quarter 2026.
Core Responsibilities
iCOOC Community Event Programme
· Plan, coordinate and administer the global iCOOC community event programme, ensuring activity is well structured, accurately recorded and delivered to a consistently high standard.
· Maintain a clear global calendar of iCOOC roundtables, dinners, breakfasts, online forums, cluster calls and community discussions.
· Support the end-to-end administration of each event, including scheduling, venue and platform coordination, invite management, attendance tracking, briefing packs, speaker logistics, run sheets and post-event follow-up.
· Work with internal stakeholders to ensure the programme reflects the priorities of the global COO community in financial services and focuses on shared, non-proprietary industry challenges.
· Coordinate tailored introductions and follow-up actions that strengthen connectivity across the international iCOOC membership.
· Ensure every event supports meaningful peer-to-peer exchange in a trusted, confidential environment, consistent with Chatham House Rule principles.
· Convert community engagement into clear operational actions, documented outputs and measurable member value.
iCOOC Relationship Management
· Develop and maintain trusted working relationships with senior iCOOC members, C-suite participants, speakers, hosts, advisors, partners and internal stakeholders.
· Act as a highly professional point of coordination for senior executives, ensuring communications are clear, timely, accurate and appropriately tailored.
· Maintain accurate stakeholder records, meeting notes, event interactions, preferences, follow-up actions and relationship intelligence.
· Support introductory calls, member briefings, speaker preparation sessions and post-event debriefs with confidence, discretion and strong attention to detail.
· Identify opportunities to deepen iCOOC engagement through relevant event participation, hosting opportunities, speaker involvement, content contribution and follow-up dialogue.
· Ensure relationship activity is coordinated globally and aligned with Armstrong Wolfe’s wider membership, community and commercial objectives.
Event Programme and Content Delivery
· Manage the detailed planning and delivery rhythm for the global iCOOC event programme, keeping all workstreams, owners and deadlines visible and under control.
· Prepare and maintain event plans, agendas, invite lists, speaker notes, briefing materials, attendance reports, issue logs, action trackers and post-event summaries.
· Coordinate content themes and discussion topics so that events remain relevant to COOs, CCOs, CAOs, Chiefs of Staff and senior business management leaders across banking and asset management.
· Support speaker acquisition, speaker briefing, preparation calls and follow-up, ensuring contributors understand the audience, objectives, format and expected outputs.
· Capture discussion outputs and convert them into credible, concise, non-proprietary insight for internal use, member communications, Points of View and event follow-up.
· Ensure event content, administration and communication are fully joined up before, during and after each engagement.
· Escalate risks, gaps or timing issues early and propose practical solutions to protect delivery quality.
Quality, Editorial and Brand Stewardship
· Own and maintain the editorial, event and delivery calendars for global iCOOC activity.
· Apply rigorous quality control to invitations, agendas, briefing packs, speaker notes, event materials, Points of View, member communications and post-event outputs.
· Maintain a consistent Armstrong Wolfe tone, standard and brand presence across all iCOOC materials and touchpoints.
· Ensure written materials are clear, accurate, concise, professional and appropriate for a senior C-suite financial services audience.
· Maintain discipline around deadlines, approvals, version control, document naming, distribution lists and final sign-off.
· Work collaboratively with colleagues to ensure event delivery, content production and member communications are aligned, polished and commercially relevant.
Desirable Experience
· Minimum 3 years’ experience in event planning, programme administration, executive support, community management, client service, relationship management or a comparable role.
· Demonstrable experience coordinating high-quality meetings, forums, roundtables, dinners, conferences or executive events for senior stakeholders.
· Experience working with C-suite or senior financial services stakeholders, ideally within banking, asset management, professional services, membership organisations, executive networks or community-led platforms.
· Strong administrative foundation, with proven ability to manage complex calendars, invite lists, logistics, records, briefing materials, actions and follow-up activity.
· Experience supporting speaker management, event content, meeting outputs, member communications or editorial production.
· Ability to manage multiple workstreams across global geographies, time zones and stakeholder groups.
· Knowledge of COO, CCO, CAO, Chief of Staff, business management, controls, transformation, operational resilience, risk or regulatory environments would be advantageous.
· Fluent English required; additional languages would be beneficial for global stakeholder engagement.

· Commercial awareness and an understanding of how high-quality community engagement supports membership value and business development.
· Collaborative working style, with the flexibility to support colleagues across events, content, membership and relationship management activity.
Pay: £28,000.00-£34,000.00 per year
