Job Title: Engineering Document Coordinator
Job Type: Full-time
Salary: £32,000-38,000 depending on experience. Plus, bonus scheme based on wider business and local performance targets. Negotiable dependent on experience.
Job Role
The Engineering Document Controller will be responsible for the management, control, distribution, and maintenance of engineering and project documentation throughout the project lifecycle.
Working closely with Design Engineers, Project Coordinators, Production, Procurement, Commercial, and Quality departments, the role ensures that project documentation is accurate, current, traceable, and available to internal and external stakeholders when required.
This position plays a critical role in supporting the successful delivery of switchgear, package substation, renewable energy, and power distribution projects by maintaining document control processes, ensuring compliance with company standards, and supporting engineering administration activities.
The role would suit an organised and detail-oriented individual with experience in document control, engineering administration, project support, or technical coordination within a manufacturing, engineering, or construction environment.
Main Responsibilities
- Maintain and manage project documentation throughout the design, manufacturing, testing, installation, and commissioning phases.
- Control the receipt, registration, issue, revision, filing, and archiving of engineering and project documents.
- Ensure engineering drawings, schematics, specifications, calculations, manuals, and customer documents are correctly stored and accessible.
- Maintain document registers, drawing registers, trackers, and revision histories.
- Issue controlled documentation to customers, suppliers, subcontractors, and internal departments in accordance with project requirements.
- Monitor document submission schedules and proactively follow up outstanding documentation with engineering and project teams.
- Support engineers with the preparation, compilation, and formatting of project documentation packages.
- Coordinate document approvals and review workflows between engineering, customers, and third parties.
- Ensure all superseded documentation is correctly identified, removed from circulation, and archived.
- Assist with the preparation of Manufacturing Record Books (MRBs), Operations & Maintenance Manuals, FAT documentation, and project handover packs.
- Maintain accurate project records and ensure compliance with company quality procedures and document management systems.
- Support audits by providing documentation and evidence as required.
- Assist with continuous improvement initiatives relating to document control processes and engineering administration.
- Work closely with Engineering Project Coordinators and Design Engineers to ensure project information remains current and accurate.
- Provide general administrative support to the Engineering department where required.
Required Skills & Experience
- Previous experience within a Document Controller, Engineering Administrator, Project Administrator, Technical Coordinator, or similar role.
- Experience working in an engineering, manufacturing, construction, utilities, infrastructure, or technical environment would be advantageous.
- Strong organisational skills and ability to manage multiple projects and deadlines simultaneously.
- Excellent attention to detail and commitment to maintaining accurate records.
- Proficient in Microsoft Office applications, particularly Excel, Word, Outlook, and SharePoint.
- Experience using document management systems (DMS), ERP systems, SAP, Autodesk Vault, or similar platforms would be beneficial.
- Ability to understand engineering drawings, technical documentation, and revision control processes.
- Strong communication skills with the ability to liaise effectively with internal departments, customers, and suppliers.
- Proactive approach to following up actions and maintaining project documentation schedules.
- Ability to work independently while supporting a wider project team.
- Professional and confidential approach when handling sensitive business information.
Desirable Skills
- Experience within the electrical engineering, switchgear, substation, renewable energy, or power distribution sectors.
- Knowledge of ISO 9001 quality systems and controlled document processes.
- Familiarity with AutoCAD, EPLAN, SAP, SharePoint, or other engineering systems.
- Understanding of project lifecycle management and engineering change control processes.

Working Hours
Ø Monday to Thursday: 8:00am – 5:00pm
Ø Friday: 8:00am – 1:00pm
