Front of House Receptionist – Confident Orthodontics

We are currently looking for experienced Front of House Receptionists to join our friendly, professional, and highly supportive team. This is a fast-paced, high-volume reception and admin role, our clinic runs at a busy pace throughout the day, with constant patient flow, ringing phones, and multiple tasks competing for attention at once. We need someone who genuinely thrives on being busy, can juggle competing priorities without losing accuracy, and stays calm, organised, and switched-on under pressure.

Key Responsibilities
- Be the first point of contact for patients and visitors, often managing several enquiries at once, face-to-face, by phone, and by email simultaneously
- Deliver a consistently high standard of customer service, even during peak, high-pressure periods
- Accurately record and manage patient data at pace, while maintaining strict confidentiality and data protection standards
- Manage a busy, constantly shifting diary of appointment bookings, recalls, and reminders, rescheduling and problem-solving on the fly
- Handle a wide variety of administrative tasks in parallel, prioritising effectively as demands change throughout the day
- Compose and format letters and correspondence, often fitted around front-desk demands
- Confidently communicate our services and encourage new patient enquiries, even when the desk is busy
- Support and enhance the patient experience throughout their journey with the practice, without letting the pace compromise care
- Liaise with patients regarding appointments, treatment plans, and associated costs
- Work closely with the wider team to keep a fast-moving practice running smoothly, jumping in wherever needed
Hours
- Part-time position
- 3 days per week (Wednesday, Thursday, Friday)
- 24 hours per week
- 1 Saturday shift every 4 weeks
Requirements
- Minimum 1 year of front desk or reception experience in a busy, fast-paced environment (dental, medical, or similar preferred)
- Proven ability to multitask and juggle competing priorities without dropping the ball
- Excellent communication and interpersonal skills, even when handling several things at once
- Strong organisational skills with keen attention to detail, especially under time pressure
- Understanding of confidentiality and data protection standards
- Confident, proactive, and approachable with a team-player mindset
- Ability to prioritise, adapt, and reprioritise efficiently as the day's demands shift
- Genuinely comfortable, even energised, working in a high-tempo, high-volume environment
- Able to remain calm, focused, and positive under sustained pressure
