Job Overview
Contract Type: Temporary Maternity Cover
We are looking for an organised and proactive Helpdesk Scheduler to join our team on a temporary maternity cover contract. This is a fast-paced role that plays a key part in ensuring maintenance works are scheduled efficiently and customer service levels are maintained to a high standard.
The successful candidate will be responsible for coordinating engineers' diaries, managing incoming service requests, liaising with clients and subcontractors, and ensuring jobs are completed within agreed service level agreements (SLAs).
Responsibilities
- Coordinate and schedule reactive maintenance works, planned preventative maintenance (PPM) visits, and quotations, ensuring client service level agreements (SLAs) are met.
- Reallocate and reschedule incomplete works to ensure timely completion and minimise service disruption.
- Monitor engineer attendance and mobilisation each morning, ensuring engineers are en route to or attending their first appointment, and communicate any absences or delays that may impact service delivery to clients.
- Provide clients with regular work-in-progress (WIP) reports and updates on outstanding works in line with agreed reporting deadlines.
- Attend client meetings as required to provide operational updates and support service delivery.
- Maintain engineer diaries, ensuring workloads are fully optimised and scheduled in advance where possible.
- Monitor engineer workloads and resource allocation to ensure efficient utilisation and productivity.
- Manage the Helpdesk mailbox, responding to and actioning all incoming enquiries, including job requests, client queries, complaints, quotation approvals, and general correspondence.
- Handle inbound telephone calls from clients, engineers, subcontractors, suppliers, and internal departments, ensuring all queries are resolved professionally and promptly.
- Maintain accurate job records by updating systems with information received from clients, subcontractors, suppliers, and engineers.
- Liaise with suppliers to source and order materials for planned works, ensuring timely delivery to site and minimising the risk of aborted or revisited appointments.
- Support the Accounts Team by assisting with invoice-related queries and liaising with subcontractors and suppliers to resolve discrepancies.
- Raise and manage purchase order uplift requests as required in conjunction with the Accounts Team.
- Communicate compliance-related issues identified during PPM visits, particularly relating to fire alarm and sprinkler systems, ensuring clients are informed and appropriate remedial actions are agreed.
- Manage contractor permit portals, ensuring company insurance documentation, RAMS, and contact information are current to prevent failed visits and access delays.
- Conduct daily diary audits to verify that permit applications have been submitted correctly, appointment details are accurate, and all necessary materials are available for scheduled works.
- Provide operational support during periods of annual leave, sickness absence, or increased workload, including assistance with scheduling, travel planning, and resource coordination.

This role requires you to attend our office 5 days a week.
Salary: £29k - £32k depending on experience
Hours: 8:00am - 5:00pm, Monday to Friday
