About the Role:
We are seeking an organised and detail-oriented HR Administrator to join our HR team in this newly created role. The position has been established to support the implementation and ongoing management of a new colleague sponsorship compliance system, ensuring we continue to meet our obligations as a licensed sponsor and maintain accurate records for our sponsored workforce.
Working closely with the HR team, Home Administrators, and operational colleagues, you will play a key role in supporting the transition to the new system through accurate data entry, record management, and the development of robust processes that ensure all sponsorship compliance requirements are met. This is an excellent opportunity for someone who enjoys working with data, improving administrative processes, and contributing to an important business project.
Key Responsibilities:
- Accurately input employee information into the sponsorship compliance system.
- Create, maintain, and update employee records, ensuring all sponsorship and compliance documentation is accurate, complete, and up to date.
- Support the migration, validation, and ongoing maintenance of workforce data within the new system.
- Monitor compliance documentation, including Right to Work documentation, visas, Certificates of Sponsorship, expiry dates, and other sponsorship-related records.
- Liaise with Home Managers and colleagues to obtain outstanding documentation and resolve any data discrepancies.
- Assist in establishing and embedding robust processes to ensure ongoing compliance with UK sponsorship requirements.
- Produce reports to identify missing, inaccurate, or expiring documentation and support timely follow-up actions.
- Support internal compliance audits and ensure records are maintained in line with UKVI sponsor licence requirements.
- Ensure all employee information is handled confidentially and in accordance with GDPR requirements.
- Provide general HR administrative support and undertake any other reasonable duties as required.
About You:
You will be highly organised with exceptional attention to detail and a methodical approach to your work. You will be confident working with large volumes of data and proficient in Microsoft Office applications. Strong communication and organisational skills are essential, along with the ability to prioritise tasks and meet deadlines in a busy environment.
Previous experience in an HR administration or compliance role is desirable, particularly where maintaining accurate employee records has been a key responsibility. Experience of UK sponsorship compliance, Right to Work checks, or working within a regulated environment would be advantageous, although full training will be provided. Most importantly, you will be committed to accuracy, confidentiality, and continuous improvement.
