Hours: We can be flexible on this for the right person but we envisage 20-30 hours per week
Location: Little Miracles @the Spinney, Hartwell Way, Peterborough PE3 7LE with the option for some hybrid working and travel between our branches.
The Role: Little Miracles is an award winning charity that supports families that have children with additional needs, disabilities and life limiting conditions. We are looking for someone who is warm, organised and people-focused to manager our volunteers and support the HR administration of the charity. You will coordinate the essential administration that keeps the organisation running - from completing safer recruitment processes and onboarding to maintaining training records, volunteer support and day-to-day HR administration.
This is a lovely opportunity for someone who enjoys helping people, creating order and making sure the important details are handled with care. You will often be one of the first people a new employee or volunteer meets, so kindness, professionalism and a genuinely welcoming approach are essential.
You do not need to know the answer to every question. You do need to be approachable, dependable and comfortable finding the right information or involving the appropriate person when needed.
The duties will vary depending on your skills and experience but are likely to include
· Prepare and publish clear, welcoming paid and volunteer opportunities.
· Respond warmly and promptly to enquiries.
· Coordinate applications, interviews, references and candidate communication.
· Support fair, inclusive and consistent recruitment processes following Safer Recruitment guidelines.
· Issue offer letters, contracts and other starter documentation using approved templates.
· Coordinate safer recruitment checks, including references, identity checks, right-to-work checks and DBS checks.
· Manage the onboarding experience and arrange inductions and ensure new starters receive the information, equipment and introductions they need.
· Keep managers informed about progress and follow up on outstanding actions.
· Support probation and settling-in review processes.
· Coordinate volunteer interviews, checks, induction and mandatory training.
· Work with managers to arrange appropriate placements and introductions.
· Maintain records of volunteer availability, training, supervision and service.
· Support volunteer recognition activities and help celebrate the difference volunteers make.
· Coordinate volunteer feedback, changes of role and positive, well-managed endings.
· Identify and refer any concerns about volunteer or employee wellbeing, conduct or safeguarding to the appropriate manager.
· Book training, send reminders and maintain attendance records.
· Monitor mandatory training and follow up when renewals are due.
· Help managers keep supervision, appraisal and development records up to date.
· Working with companies to support corporate volunteering opportunities
· Gather feedback to improve all of our people processes
· Follow Little Miracles’ safeguarding procedures at all times.
We would love to hear from someone who:
· Is kind, approachable and genuinely enjoys helping people.
· Has strong administrative and organisational skills.
· Communicates clearly and sensitively in person, by telephone and in writing.
· Can manage several priorities while keeping track of important details and deadlines.
· Is confident using email, documents, spreadsheets and CRM systems (we use Hubspot)
· Understands the importance of confidentiality and accurate record keeping.
· Can remain calm, thoughtful and professional when handling sensitive situations.
· Works well independently while knowing when to ask for advice or escalate a concern.
· Treats every person with dignity and respect.
· Shares Little Miracles’ commitment to inclusion, safeguarding and creating a welcoming community.
It would be helpful—but is not essential—if you have:
· Experience in HR, people administration, recruitment or volunteer coordination.
· Experience working in a charity, community organisation, care setting or family service.
· Lived experience of supporting a disabled child.
· Knowledge of safer recruitment and DBS processes.
· Experience maintaining training or compliance records.
· Familiarity with HR or volunteer-management systems.
· A relevant qualification, such as CIPD, volunteer-management training or equivalent practical experience.
We recognise that valuable experience comes from many places, including paid employment, volunteering and lived experience. Please do not be discouraged from applying if you meet most, but not every, part of the description.
