Full job description

The CargoWise Systems Manager will own the development, configuration, optimisation, and governance of CargoWise across the organisation. The role will ensure the platform supports efficient freight forwarding, customs, warehousing, finance, and customer-service operations.

Working closely with operational teams, finance, compliance, IT, and senior management, the Systems Manager will translate business requirements into practical CargoWise solutions, improve data quality and automation, and lead system implementations and upgrades.

Key ResponsibilitiesCargoWise Development and Configuration

Own the design, configuration, development, testing, and deployment of CargoWise solutions.
Configure workflows, triggers, templates, document packs, reports, user roles, permissions, and operational controls.
Develop automation that reduces manual entry, improves productivity, and increases process consistency.
Manage integrations between CargoWise and customer, carrier, customs, accounting, warehouse, and third-party systems.
Evaluate new CargoWise functionality and recommend features that support operational and commercial objectives.
Maintain appropriate separation between development, testing, and production environments.

Business Process Improvement

Analyse freight forwarding and logistics processes across air, ocean, road, customs, warehousing, and finance.
Translate operational requirements into system specifications, workflows, reports, and implementation plans.
Identify process gaps, duplicated activity, manual workarounds, and opportunities for automation.
Standardise CargoWise processes across offices, departments, and countries where appropriate.
Establish measurable benefits for system developments, including time savings, error reduction, compliance improvements, and cost control.

Implementation and Project Management

Lead CargoWise implementations, migrations, upgrades, module rollouts, and continuous-improvement projects.
Develop project plans covering scope, resources, milestones, dependencies, testing, training, and deployment.
Coordinate user acceptance testing and obtain formal approval before production release.
Manage system changes through documented change-control and release-management procedures.
Work with external consultants and technology suppliers, including WiseTech Global, where specialist support is required.
Provide clear reporting on project status, risks, costs, and expected benefits.

System Support and Administration

Act as the senior escalation point for complex CargoWise incidents and application issues.
Manage user accounts, security groups, access permissions, licences, and system settings.
Monitor system performance, interfaces, scheduled processes, message queues, and recurring errors.
Establish support procedures, service levels, issue-priority categories, and escalation routes.
Perform root-cause analysis and implement corrective actions to prevent repeat incidents.
Maintain a reliable register of configurations, developments, interfaces, defects, and system changes.

Data, Reporting, and Integration

Improve the completeness, consistency, and accuracy of operational and financial data.
Develop management reports, dashboards, exception reports, and performance indicators.
Define data ownership, validation rules, naming conventions, and master-data standards.
Support data migration, cleansing, reconciliation, archiving, and retention activities.
Oversee EDI, API, eAdaptor, XML, and other integration methods used by the organisation.
Ensure interface failures are monitored, investigated, and resolved promptly.

Governance, Security, and Compliance

Establish governance standards for CargoWise configuration, development, testing, access, and documentation.
Maintain role-based access controls and conduct regular access reviews.
Ensure system processes support customs, trade compliance, financial control, data protection, and audit requirements.
Protect sensitive customer, employee, shipment, customs, and financial information.
Coordinate business continuity, disaster-recovery, and system-risk planning with internal IT teams and suppliers.
Ensure system developments are appropriately documented, tested, approved, and auditable.

Training and Stakeholder Management

Build strong relationships with operations, finance, customs, sales, compliance, customer service, and IT stakeholders.
Chair or support a CargoWise steering group and maintain a prioritised development roadmap.
Create user guides, process documentation, training materials, and release communications.
Deliver training for new users, super-users, managers, and system administrators.
Develop a network of departmental CargoWise champions to support adoption and continuous improvement.
Encourage consistent use of the system and address avoidable offline or spreadsheet-based processes.

Essential Experience

Significant experience administering, configuring, developing, or implementing CargoWise in a freight forwarding or logistics organisation.
Strong understanding of international freight forwarding processes, including air, ocean, road, customs, and shipment documentation.
Experience gathering business requirements and converting them into functional and technical solutions.
Proven delivery of CargoWise improvements, integrations, migrations, or module implementations.
Experience with workflow automation, reporting, data management, and system testing.
Understanding of financial processes such as accruals, costings, billing, payables, receivables, and job profitability.
Experience managing system incidents, change requests, releases, and user access.
Demonstrable project-management and stakeholder-management experience.
Experience producing process maps, system specifications, test scripts, training materials, and technical documentation.
