We are looking for an organised, proactive, and detail-focused Fleet Compliance Co-ordinator to join our team and play a key role in ensuring our fleet remains compliant, operational, and fit for purpose.
The Role
The Fleet Compliance Co-ordinator is responsible for overseeing the operational performance, compliance, and availability of the company fleet. This role ensures that all vehicles, trailers, tools, and equipment are maintained in line with legislative requirements, manufacturer guidelines, and internal standards.
Working closely with engineers, suppliers, and management teams, you will coordinate vehicle servicing, MOTs, compliance inspections, defect management, and fleet replacement activities while maintaining accurate records and delivering excellent support to both internal and external stakeholders.
Key Responsibilities
The successful candidate will be responsible for, but not limited to:

Ensuring all fleet vehicles are maintained in line with manufacturer recommendations and DVSA guidelines.

Managing fleet servicing schedules, MOTs, inspections, and maintenance activities.

Ensuring weight test trailers remain compliant and undergo regular inspections by Engineers.

Maintaining a centralised compliance record for every vehicle within the fleet.

Keeping the vehicle tracking portal updated with accurate fleet information and engineer allocations.

Maintaining accurate Quality Management System (QMS) records for all fleet-related activities and compliance requirements.

Conducting compliance inspections during stock take visits, including:

PAT testing of electrical equipment.

Calibration of torque wrenches.
-
LOLER inspections of vehicle jacks.
-
PUWER compliance checks on tools and equipment.
-
Managing the vehicle replacement programme and ensuring smooth transitions between vehicles.

Investigating parking offence queries and submitting appeals where appropriate.

Monitoring parking and speeding fines, ensuring engineers are notified and records are maintained.

Acting as the primary liaison with vehicle rental suppliers, including Compello Vehicle Rental, for the hire and return of replacement vehicles.

Managing replacement vehicle requirements for vehicles off road (VOR) and coordinating timely handovers.

Managing service-related defects, breakdowns, and repair issues across the service van fleet.

Supporting fleet procurement activities, budgeting processes, and continuous improvement initiatives.

Producing accurate reports and compliance records as required.

Building strong working relationships with internal teams, engineers, suppliers, and external stakeholders.
About You
We're looking for someone who is highly organised, analytical, and passionate about compliance and operational excellence.
Essential Skills & Experience

Previous experience in a fleet administration, fleet compliance, transport, or vehicle management role.

Strong understanding of fleet compliance, vehicle maintenance requirements, and record keeping.

Excellent organisational skills with the ability to manage multiple priorities.

Strong attention to detail and commitment to accuracy.

Confident communicator with excellent customer service skills.

Proficient in Microsoft Office applications, particularly Excel.

Ability to work independently while building effective working relationships across the business.

Full UK Driving Licence.
Desirable

Knowledge of DVSA regulations and vehicle compliance requirements.

Understanding of LOLER, PUWER, and PAT testing requirements.

Experience using fleet management and vehicle tracking systems.

Familiarity with Quality Management Systems (QMS).
