Lightstyle London has been supplying decorative lighting to businesses across the UK and EU for the past 25 years. We pride ourselves on delivering exceptional customer service and efficient order fulfilment. We are a small, energetic team with a friendly and supportive work environment.

We are currently looking for a reliable and motivated Sales Coordinator to join our team. This role would suit someone who is organised, proactive, and able to manage multiple tasks in a fast-paced environment. This is a varied role where you will process orders, manage customer relationships, attend trade exhibitions, and support a range of marketing activities. Excellent communication skills, strong attention to detail, and a customer-focused approach are essential. The successful candidate will be confident working with customers and colleagues, supporting the sales process from order placement through to dispatch. A positive, solution-oriented attitude and the ability to work well as part of a team are key to succeeding in this role.

Key Responsibilities

Act as the primary point of contact for UK customer sales enquiries.
Manage and process customer orders across the UK and Northern Ireland from multiple sales channels, including the company website, trade exhibitions, wholesale marketplace, email, and telephone.
Prioritise urgent orders to meet customer requirements.
Handle order amendments and customer requests promptly.
Coordinate back orders and keep customers informed of expected dispatch dates.
Prepare and send order and proforma confirmations
Follow up on outstanding proforma invoices.
Identify opportunities for repeat business and recommend complementary products.
Work closely with the director to monitor and allocate critical stock.
Create and maintain accurate customer and order records in Sage50.
Maintain accurate product availability and stock information on the wholesale marketplace.
Coordinate the transfer of complete and accurate customer orders to the warehouse for picking, packing, and dispatch.
Ensure orders have been invoiced correctly.
Monitor and report website ordering issues.
Monitor the accuracy of online product information.
Follow up website enquiries and sales leads.
Attend trade exhibitions, engage with visitors, promote the company's products, and take customer orders.
Build and maintain strong relationships with prospective and existing customers.
Ensure all exhibition equipment, displays, and materials are prepared and transported to trade exhibitions.
Ensure exhibition orders are accurately downloaded into SAGE, investigating and resolving any import issues promptly.
Follow up leads generated from exhibitions to convert opportunities into sales.
Conduct post-event follow-up with exhibition prospects and existing customers to strengthen relationships and maximise sales opportunities.
Produce weekly sales performance reports.
Provide support for marketing activities, including assisting with product photoshoots as required.
Coordinate catalogue requests.
Prepare and update price lists.
Manage and track samples.

About You

To be successful, you will have:

A proven background in sales, customer service, account management, or sales administration.
Excellent verbal and written communication skills, with the ability to build strong relationships with customers and colleagues.
A proactive, sales-focused approach with strong problem-solving skills.
Excellent organisational and administrative skills, with the ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
Confidence communicating with customers by phone, email, and in person.
The ability to work both independently and collaboratively in a fast-paced environment.
The ability to work effectively under pressure and meet tight deadlines.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Experience using Sage50 (desirable).
Experience attending trade shows or exhibitions (desirable).
Knowledge of order processing and sales administration (desirable).
Previous experience in shipping coordination or administration (desirable).
A willingness to learn new skills and contribute positively to the team.
