About the Role
As a Veterinary Receptionist, you'll play a key role in creating a warm, professional, and supportive experience for every client, visitor, and colleague who walks through our doors. You'll be the first point of contact for our practice, combining excellent customer service with strong organisational and administrative skills to help ensure the smooth day-to-day running of the reception team.
We're looking for someone who is confident, compassionate, and highly organised, with the ability to multitask in a fast-paced environment while maintaining a positive and professional approach. Every interaction should reflect our commitment to delivering the highest standards of care and service.
Key Responsibilities
- Greeting clients and visitors with a warm and friendly approach.
- Managing check-ins and notifying the veterinary team of arrivals, ensuring patients’ statuses are updated.
- Answering phone calls, directing enquiries, and relaying accurate information.
- Handling messages and managing queries from pet owners and veterinary professionals.
- Registering new patients and coordinating referral bookings.
- Liaising with referring practices to gather patient history before appointments.
- Processing insurance claims and client payments.
- Maintaining the reception area and consultation rooms to ensure they are clean, tidy, and welcoming at all times.
- Supporting the veterinary team and Practice Manager with administrative tasks, such as preparing notices, letters, and documents.
- Reporting feedback from clients and visitors to help improve our services.

What We’re Looking For
Skills & Abilities
- Excellent written and verbal communication skills.
- Organised with a high level of attention to detail.
- Competent in using Microsoft Office (Excel/Word/Outlook).
- Problem-solving skills with the ability to use initiative.

- A positive, adaptable attitude with the ability to handle pressure.
Knowledge & Experience
- Previous experience in a veterinary receptionist role is desirable.
- Familiarity with practice management software (e.g., EzyVet) is an advantage.
- Experience in processing insurance claims is beneficial.
Qualifications
- Minimum GCSE Maths and English (or equivalent).
