Duties

Manage incoming calls, emails, and correspondence with professionalism and enthusiasm
Schedule appointments, meetings, and coordinate calendars for team members or executives
Prepare and organize documents, reports, and presentations with accuracy and timeliness
Greet visitors warmly, assist with inquiries, and direct them appropriately within the organization
Maintain filing systems—both physical and digital—to ensure easy retrieval of information
Assist in organizing company events, meetings, or training sessions as needed
Support other administrative tasks such as ordering supplies, managing office equipment, and data entry

Requirements

Proven experience in an administrative or secretarial role preferred but not mandatory; strong organizational skills are essential
Excellent communication skills—both written and verbal—with a friendly, professional demeanor
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software and quickBooks
Ability to multitask effectively while maintaining attention to detail in a fast-paced environment
Strong interpersonal skills to interact confidently with staff, clients, and visitors
High school diploma or equivalent; additional education or certifications in office administration is a plus
