Job Summary

We are seeking a professional and highly organised Legal Secretary/Receptionist to join our legal practice. The successful candidate will provide vital administrative support, manage client interactions, and assist with legal documentation. This role offers an excellent opportunity for individuals with strong communication skills and a keen eye for detail to contribute to a dynamic legal team. The position is paid and requires a proactive approach to managing multiple tasks efficiently.

Responsibilities

Answering and directing incoming calls with professionalism and courtesy
Managing the reception area, greeting clients and visitors in a welcoming manner
Performing audio typing of legal documents, correspondence, and reports accurately and efficiently
Organising and maintaining legal files, documents, and records in accordance with firm procedures
Utilising Microsoft Office suite (Word, PowerPoint, Excel, Outlook) to prepare documents, presentations, and schedules
Scheduling appointments, court dates, and meetings while ensuring effective time management
Assisting with general administrative duties such as photocopying, filing, and data entry
Supporting the legal team with document preparation and other clerical tasks as required
Ensuring confidentiality and security of sensitive information at all times

Requirements

Proven administrative experience, preferably within a legal environment
Strong audio typing skills with high accuracy and speed
Excellent communication skills, both written and verbal
Proficiency in Microsoft Office applications including Word, PowerPoint, Excel, and Outlook
Good IT skills with the ability to adapt to new software systems quickly
Exceptional organisational skills with the ability to prioritise tasks effectively
Effective time management skills to meet deadlines in a fast-paced environment
Ability to work independently as well as part of a team
Attention to detail and high levels of professionalism are essential
