The purpose of the role is to provide a professional, efficient and customer focussed integrated service to the public covering the Box Office and Reception operations within Venues. Also to contribute as an effective team member of the Box Office and Venues team with the intention of providing and delivering excellent customer services as first point of contact.
Other areas of the role include:
Ticket Sales and Processing
- Sell tickets for upcoming events, performances, and shows through various platforms (in-person, phone, online).
- Assist customers in selecting seats, providing information on pricing, and offering recommendations based on preferences.
- Process payments and issue tickets, ensuring accuracy in sales transactions.
- To operate the Box Office computer systems and any other systems needed to fulfil the role.
Customer Service and Visitor Assistance
- Greet patrons warmly upon arrival and provide assistance with general inquiries about the theatre, event schedules, and policies.
- Resolve customer concerns or complaints in a professional and efficient manner.
- Provide directions, amenities information, and assist patrons with any special needs, such as accessibility requirements.
Box Office Management
- Maintain accurate records of ticket sales and seating availability.
- Monitor and track inventory of tickets, including agents, promoter allocations.
- Handle ticket returns, exchanges, or refunds according to theatre policies.
- Account for all transactions, receipts and floats and accurately administer banking procedures in line with the venues Cash Handling Procedures.
- Cover evening Box Office shifts at King George’s Hall and Darwen Library Theatre, and at times any external events we may support.
- To ensure compliance with GDPR and Health and Safety regulations throughout the complex, at all times.
- To carry out other duties as required by the Supervisor/Manager, to ensure the efficient operation of the Box Office.

Phone & Email Correspondence
- Answer phone calls and respond to emails regarding ticketing, event information, and theatre services.
- Provide timely and courteous responses to inquiries, ensuring a positive patron experience.
Administrative Support
- Assist with administrative duties, including maintaining event schedules, processing orders, and coordinating group bookings.
- Support the theatre team with daily operational tasks such as preparing event materials.
- To assist and support the marketing department in all aspects of Promotion and Publicity.
- Monitoring and updating websites.
Event Preparation & Coordination
- Set up and organise ticketing materials for upcoming events. (e.g.- setting up scanners, guestlists)
- Coordinate with the front-of-house team to ensure a seamless guest experience during shows. Relay technical information and specifications for the performance.
- To react promptly to any emergency alarms or situations and liaise with the duty manager in the event of an emergency.
Maintain a Clean and Professional Environment
- Ensure the box office area is tidy, organised, and well-stocked with necessary supplies (e.g., leaflets, posters).
- Follow theatre procedures for safety and cleanliness protocols.
Provide Information on Promotions & Special Offers
- Inform patrons about upcoming events, promotions, and any special offers or discounts available.
- Upsell or promote special packages, VIP seating, or memberships when applicable.
- Take opportunity to promote the sale of tickets and hire of the complexes.
