Operating across several London boroughs and Hertfordshire, they work tirelessly to support their service users to live independently, stay safe, and actively engage with their local communities. They are looking for an organized, empathetic, and enthusiastic Business Administration Apprentice to join their back-office team and play a vital role in supporting the daily operations of an essential community service.
The Role
As a Business Administration Apprentice, you will be based at the main office, providing foundational administrative support that keeps the care delivery running seamlessly. You will work closely with care managers, coordinators, and the supervisory team, learning the operational, compliance, and scheduling systems required to run a high-quality, regulated care service.
Essential Requirements
- Strong IT literacy including a proficiency in Microsoft 365 and Electronic Care Management systems.
- Excellent communication and customer service skills High level of discretion and understanding of data protection laws.
- Compassionate approach to dealing with vulnerable individuals, friends and family.
- Full UK Driving licence
Key Responsibilities
- To manage admissions and discharges, maintaining accurate records of confidential data and information in compliance with GDPR.
- To assist with the recruitment and onboarding of care and support workers, maintain staff training matrices and manage daily rotas.
- To process payroll, collate billing data and monitor outstanding payments.
- To triage emails, queries and liaise with external agencies such as GPs, social workers and pharmacies.
- Support management by tracing health and safety metrics, organise meetings and minute action points.
- To ensure the day-to-day operation of Organisation’s office facilities.
- To manage the Organisation’s computer data base and word processing functions. To organise computer files and to ensure their regular and timely back-up according to documented procedures.
- To manage the Organisation’s Quality Documentation System in accordance with Document Control Procedures.
- To maintain the Organisation’s Compliments/Concerns/Complaints Files.
- To participate in Quality Management Review Meetings, to take minutes of such meetings and to prepare minutes for signature and distribution.
- To comply with all Policies of the Organisation, as appropriate.
