About the Role

We are looking for a proactive and highly organised Business Support Officer to provide essential administrative and operational support across our Communications and Strategy, Partnerships and Business Planning teams.

This is a varied and rewarding role at the heart of the organisation, helping teams deliver key priorities and projects that make a difference to children, young people and families across Bradford. You'll play a crucial role in keeping services running smoothly by coordinating meetings and events, managing logistics, maintaining asset libraries, monitoring shared inboxes, creating resources and supporting content updates across a range of communication channels.

You'll work closely with colleagues across the Trust and with external partners, building positive working relationships and ensuring activities are well organised, efficient and delivered to a high standard. This role is ideal for someone who enjoys providing excellent coordination and administrative support, takes pride in attention to detail, and thrives in a fast-paced environment where no two days are the same.

You’ll also:

Communications Team

Support with event organisation (booking rooms, liaising with venues, coordinating diaries, organising refreshments etc)
Monitor shared inboxes, respond to routine requests and escalate enquiries as appropriate
Schedule meetings (including the all-staff call and other key events)
Liaise with presenters and speakers to confirm availability and coordinate content
Organise and maintain files, documents and digital assets (including consent forms and the photograph library)
Use the new starter list to make sure new staff have staff calls in their diary
Update posters in the frames/noticeboards in SHMH and liaise with other sites/buildings to update and distribute material to support campaigns
Support colleagues with preparing/formatting presentations, reports and marketing material using branded templates
Keep internal email distribution lists up to date to support comms activity
Assist in coordinating and updating the forward plan and channel calendar to support timely and effective delivery of communications activities
Collect and maintain communications performance data to support reporting
Support the Communications Team with research as needed (e.g. media distribution lists, local marketing opportunities)
Assist with social media scheduling, research key words/hashtags and monitor inboxes and direct messages, escalating queries where appropriate
Order promotional materials and office supplies and coordinate reprint orders and routine printing requests

Strategy, Partnerships, and Business Planning

Provide meeting support, including coordinating diaries, preparing agendas, setting up for meetings, taking minutes, recording actions, ensuring follow-up activities are completed and undertaking any associated actions as required.
Update and monitor the policy library
Support with the creation of resources – for example preparing meeting packs and briefing materials

To be successful in this role you will need:

Qualifications:

GCSE – Level A-C in English and Maths (or equivalent)

Experience

Minimum 2-3 years’ administrative experience in a similar professional services environment
Experience scheduling meetings, preparing agendas and papers and taking accurate minutes
Proficient in MS Office (Word, Excel, PowerPoint and SharePoint)
Ability to demonstrate high levels of accuracy, attention to detail and confidentiality
Proven experience drafting high-quality written correspondence, reports or content
Proven experience of prioritising workloads, meeting deadlines and managing competing demands in a fast-paced environment

You will be an organised, enthusiastic and detail-focused individual with strong administrative and coordination skills and the ability to build positive relationships with colleagues, partners and meeting participants.

You will have a willingness to learn, adapt and support a wide range of activities across two friendly teams in a fast-paced environment.
