Purpose:
Reporting directly to the Warehouse Administration Manager, alongside the Warehouse Despatch Manager and Planning and Packaging Co-Ordinator the main duties of the role will be to perform all the system transactions from Goods into Goods despatch
The duties will include creating shipment and transfer notes, receipting bulk and packaging stocks matching Purchase Order’s, advising staff members and departments of goods arrival, completing traceability documentation, posting shipments and create delivery notes, liaising with sales team to amend order details and prepare end of day outstanding order/shipment list.
Key Responsibilities/Accountabilities:
- Create Warehouse Shipment and Outbound transfer notes and perform system transfer and posting on relevant systems
- Create return transfer orders for incoming storage loads, matching load numbers and complete Warehouse receipt and item tracking lines ready for product return to Ditcheat. Receipt the loads from location to Ditcheat on all systems and complete system put aways.
- Working with Goods in Operatives collate, match to Purchase Order’s and receipt onto the system packaging and ingredients deliveries completing traceability labelling for other departments’ goods. Advise and Chase purchaser of Purchase Order re-approvals to ensure timely receipt of said goods. Always complete vehicle compliance sections where required.
- Sign and check non-system stock for other departments from Hauliers or couriers and place onto the Goods in shelves completing location sheet before informing the purchaser of arrival
- Be available to receive and meet wholesale and cash sale customers and locate order documents from clipboards (requested receipt if it’s cash sale customers). Complete any vehicle and post order / print delivery notes for customer to sign. Laise with FLT driving Stores Operatives to locate and load said orders
- Prepare documents for despatched goods, posting shipments and creating delivery notes ensuring no vehicle / driver leaves the premises without signed documentation and temperature checks (this will; expand into preparing documentation and seal number information for export container loads)
- Aiding the Warehouse Desptch Manager and using Haulier portals, book orders and pallet spaces to be delivered to customers in line with delivery dates on Sales Orders, creating pallet labels for Stores Operatives to apply to top of pallets
- Create pallet manifests and labels for UK and European bulk customers emailing relevant information direct to customer contacts
- Liaise with Sales team when order quantities or delivery dates need amending, working with the warehouse team to solve and report any issues
- At the end of each day prepare lists and communicate to all relevant departments any outstanding orders not met / completed / despatched each day
- Aiding the Stores Stock planner take responsibility for the retail customer finished goods stock at our third party consolidator / picking teams, reporting and tracing stock and date differences liaising with internal and external departments to rectify- Provide cover for the department’s use of the company QIS system to be able to create production orders for the planners in case of absence or holiday
- Work in a safe manner both personally and with other team members, ensuring safe working practices and health and safety guidelines are always followed, and all other internal policies are adhered to.
- Ensure correct personal protective equipment (PPE) is worn at all times, in the stores.
- Willing to work in other departments within your level of competence, to meet the needs of the business.
- Carry out any other duties requested from time to time by the management team and to undertake work that you are able to complete as reasonably requested by the Warehouse Management team or other section managers.
- To carry out any other work or task determined to be within your level of competence, to meet the needs of the business.

- A key part of this role will be to work closely with the Continuous Improvement team to report KPI’s (Key Performance Indicators), which will help with the Quality Assessment of the stores intake and despatch areas.
