Purpose of Role
We are currently recruiting for a Contractor Coordinator to support the operational delivery of Hard FM services at RAF Odiham.
Job Description
This is a coordination and administration-focused role, with a strong emphasis on managing contractors and subcontractors working on a secure Defence site. Working closely with the Facilities Manager, you will help coordinate contractor attendance, ensure the correct documentation and approvals are in place, and manage the process of escorting contractors around the airbase to ensure works are carried out safely, efficiently and in line with site requirements. Alongside contractor management, you will provide essential facilities administration support, helping to coordinate planned and reactive maintenance, monitor contractor performance, manage the CAFM system and maintain accurate records relating to compliance, PPMs, SLAs and KPIs. The role would suit someone who is highly organised, confident dealing with contractors and engineers, and looking to develop their career within Facilities Management.
Responsibilities
- Coordinate the day-to-day attendance and activities of subcontractors, contractors and engineers across the site
- Act as a key point of contact for contractors, ensuring they understand site requirements and are appropriately scheduled
- Escort contractors around the airbase, ensuring they access the correct areas and comply with site security and operational procedures
- Coordinate contractor access, attendance, permits and relevant documentation
- Use Maximo CAFM or a similar system to raise, update and monitor maintenance tasks
- Maintain accurate records of contractor attendance, works completed, outstanding actions and compliance information
- Raise purchase orders, quotations and billable works and support associated administration
- Support the Facilities Manager with general Hard FM administration and service performance reporting
Essential Qualifications/Skills
- Experience coordinating contractors, subcontractors, engineers or suppliers
- Good understanding of contractor management and maintenance coordination
- Previous experience within Facilities Management, engineering, maintenance or a similar operational environment would be advantageous
- Strong administrative and organisational skills, with excellent attention to detail
- Confident using Outlook, Excel and other Microsoft Office applications
- Good communication skills and the confidence to deal with contractors and site teams
- Full UK driving licence and confidence driving on site, as contractor escort duties will form a key part of the role
