Chichester City Club is a well-established and respected private members’ club in the heart of Chichester, with a proud tradition of service and community. With over 700 members, the Club offers a relaxing and sociable atmosphere with a well-run bar, a snooker room with four heated full-sized tables, function space, and regular events and activities for members.
We are seeking a versatile, organised, and proactive Secretary & Treasurer / Club Administrator to manage our day-to-day financial bookkeeping, administration, compliance, and governance. Working alongside our Club Steward and reporting to the Club Committee, you will serve as the administrative hub for the Club and its associated property trustee company.
What You’ll Be Doing
Finance & Bookkeeping
- Maintain accurate day-to-day accounts in Xero for the Club.
- Process accounts payable, accounts receivable, manage outsourced staff payroll and pensions, and complete monthly bank and other reconciliations.
- Collate financial records and liaise with our external accountants for year-end statutory accounts.
- Manage annual renewals for Club and property insurance policies.
Governance, Property & Systems
- Attend monthly evening Committee meetings, prepare agendas, send out management accounts, and take accurate minutes. Maintain and update the Club Rules as necessary.
- Act as the primary landlord contact for tenants occupying parts of the 13 North Pallant property (lease queries and rent invoicing).
- Complete or manage Companies House filings for the property Ltd Co.
- Oversee administrative aspects of the Club's door entry and alarm/security systems.
- Maintain local council premises certificates and gaming machine licenses.
Membership & Communications
- Maintain the database for 700+ members and coordinate the annual January subscription renewal process.
- Draft and send regular member email newsletters via Mailchimp.
- Liaise with our website manager to keep online information up to date.
Ad Hoc Operational Support
- Act as administrative liaison for key external partners, including the brewery and the EPOS/till system supplier.
- Work collaboratively with the Committee and Steward to resolve varied daily administrative queries.
Who We’re Looking For
This role is ideal for an experienced bookkeeper, parish clerk, practice manager, or senior administrator looking for a varied, flexible part-time position.
- Finance Skills: Proficient in Xero bookkeeping, payroll, and AP management.
- Administrative Capability: Highly organised with strong attention to detail and minute-taking experience.
- Communication & Tech: Comfortable sending email campaigns (Mailchimp) and liaising with external service providers.
- Problem-Solver: Self-motivated, approachable, and able to handle a wide range of operational tasks independently.
