Job Summary
CNT AIT Business & Technology Services Ltd. is seeking an analytical, organised, and proactive Workforce Planning Analyst to join our team in Edinburgh.
As a Workforce Planning Analyst, you will support workforce forecasting, scheduling, capacity planning, staffing analysis, and operational reporting. You will analyse workforce and workload information to help ensure staffing resources are aligned with anticipated business requirements.
You will work closely with operations, customer service, HR, workforce management, finance, and management teams to maintain workforce plans, monitor staffing trends, prepare reports, and provide practical insights that support operational decision-making.
This position is suitable for candidates with experience in workforce planning, workforce management, WFM, forecasting, scheduling, resource planning, operations analysis, contact centres, BPO, reporting, or similar analytical environments. Candidates with strong Excel, reporting, or analytical skills who want to develop their careers in workforce planning are also encouraged to apply.
What You'll Do
- Support short-term and medium-term workforce planning and forecasting.
- Analyse historical workloads, staffing levels, schedules, productivity, and operational trends.
- Maintain workforce forecasts, staffing plans, schedules, and capacity information.
- Compare expected workload with available staffing resources.
- Monitor workforce coverage and identify potential staffing gaps or capacity concerns.
- Review actual workload and staffing performance against forecasts.
- Support employee scheduling, shift coverage, leave planning, and resource-allocation activities.
- Monitor attendance, availability, schedule adherence, and other relevant workforce information.
- Support intraday and real-time workforce-management activities where required.
- Assist operations teams with staffing adjustments based on changing workload requirements.
- Support headcount, capacity, recruitment, and resource-planning exercises.
- Prepare workforce reports, spreadsheets, dashboards, forecasts, and management updates.
- Monitor relevant workforce performance indicators and identify trends or variances.
- Assist with forecasting and staffing scenario analysis.
- Provide clear workforce information and planning insights to operational teams.
- Maintain accurate data within approved workforce-management, scheduling, HR, and reporting systems.
- Support seasonal, project-based, and changing workforce requirements.
- Assist with maintaining workforce-planning documentation and procedures.
- Identify recurring staffing or scheduling issues and recommend practical improvements.
- Contribute to continuous improvement of forecasting, scheduling, and workforce-planning processes.
Requirements
- Previous experience in workforce planning, workforce management, forecasting, scheduling, resource planning, operations analysis, contact centres, BPO, reporting, administration, or a related environment is preferred.
- Good analytical and numerical abilities.
- Strong organisational and time-management skills.
- Comfortable working with workforce data, schedules, spreadsheets, and reports.
- Good working knowledge of Microsoft Excel or similar spreadsheet applications.
- Ability to identify patterns, trends, and variances within operational data.
- Strong attention to detail and commitment to accurate reporting.
- Good problem-solving and follow-up abilities.
- Ability to manage multiple analytical tasks and changing priorities.
- Good written and verbal communication skills.
- General understanding of staffing, forecasting, scheduling, or capacity-planning concepts is helpful.
- Familiarity with workforce-management, scheduling, HR, reporting, or contact-centre systems is advantageous but not essential.
- Experience with dashboards, reporting tools, or business-intelligence applications is helpful but not required.
- Ability to explain workforce information clearly to colleagues and managers.
- Comfortable working independently and collaboratively across different teams.
- Willingness to learn new workforce-management platforms, reporting tools, and planning processes.
- Relevant education, professional training, or equivalent practical experience will be considered.
