Practice Supervisor – Veterinary Clinic
We are looking for an experienced, organised and approachable Practice Supervisor to join our busy veterinary practice.
This is a key position within the practice, supporting both our clinical and non-clinical teams and helping to ensure the smooth running of day-to-day operations. We are looking for someone who is confident leading a team, managing staffing requirements and providing excellent service to our clients.
Previous supervisory or management experience within a veterinary practice would be advantageous, although we also welcome applications from candidates with relevant experience in a busy healthcare, customer service or similar environment.
The Role
As Practice Supervisor, you will be a first point of contact for staff and will work closely with the wider team to maintain high standards of client care and operational efficiency.
A key part of your role will be coordinating staffing across the practice. You will create and manage the staff rota, oversee annual leave and absence, and ensure appropriate staffing levels are maintained across both front-of-house and clinical support functions.
You will also support the practice with day-to-day HR matters, including inductions, probation reviews, sickness and return-to-work meetings, capability and disciplinary matters, grievances and other employee-related issues. You should therefore have a good understanding of HR procedures and be familiar with ACAS guidelines.
Key Responsibilities
- Create and manage the weekly staff rota, ensuring appropriate levels of cover throughout the practice.
- Manage staff leave and accurately record holidays and absences on the practice system.
- Monitor absenteeism and coordinate appropriate cover when required.
- Act as a first point of contact for staff regarding day-to-day operational and HR matters.
- Support probation reviews, return-to-work meetings, disciplinary, capability and grievance procedures where required.
- Help ensure the reception area operates efficiently, professionally and remains clean, organised and welcoming.
- Ensure clients are treated professionally, courteously and with compassion.
- Ensure telephone calls, emails and enquiries are handled promptly and appropriately.
- Work closely with the clinical team to support smooth day-to-day practice operations.
- Assist with administrative duties, including record keeping, reporting incidents and maintaining appropriate documentation.
- Hold staff meetings and one-to-one discussions where required.
- Act as a point of escalation for client complaints and more complex enquiries, handling sensitive situations calmly and professionally.
- Help maintain a positive, supportive and collaborative working environment across the practice.
About You
We are looking for a reliable, motivated and confident individual who enjoys working as part of a team and is comfortable taking responsibility within a busy environment.
You will ideally bring:
- Previous supervisory, team leadership or management experience.
- Experience working within a veterinary practice, healthcare setting, busy reception or customer-focused environment.
- Previous HR or people-management experience.
- A good understanding of HR processes and ACAS guidelines.
- Strong organisational and time-management skills.
- The ability to coordinate rotas and manage competing staffing requirements.
- Excellent written and verbal communication skills.
- Professional and confident telephone etiquette.
- The ability to handle complaints and difficult conversations calmly, sensitively and professionally.
- A caring and professional approach with a genuine interest in animal welfare.
- The ability to work collaboratively with veterinary surgeons, nurses, receptionists and other members of the practice team.
- A proactive approach and the ability to use initiative in a busy working environment.
Hours
The position is available for 25–40 hours per week, Monday to Friday.
Shifts will be worked between 8:30 am and 7:00 pm, with a one-hour unpaid lunch break.
Specific working hours and shift patterns can be discussed with the successful candidate.
