UK Property Finance Brokerage
We are a specialist property finance and mortgage brokerage looking to hire reliable, detail-oriented Part Time Paraplanner to support senior brokers with the day-to-day administration of live cases.
This is a non-sales, non-advisory role. Your job is to keep deals moving, ensure nothing is missed, and maintain high standards of organisation, communication, and follow-up.
Key Responsibilities
Case & Deal Administration
· Manage cases from application through to completion
· Transfer and maintain data across emails, CRM systems, Excel/Google Sheets, and lender portals
· Prepare, update, and maintain accurate case notes, timelines, and deal trackers
· Ensure all documents are correctly named, saved, filed, and version-controlled
Client & Third-Party Follow-Ups
· Request and chase outstanding client documents (ID, bank statements, income proof, forms, etc.)
· Follow up with lenders, underwriters, valuers, solicitors, estate agents, and brokers
· Draft clear, professional follow-up emails based on broker instructions
· Keep clients informed of progress and next steps (where instructed)
Application & Packaging Support
· Assist with preparing lender application packs
· Upload and manage documents on lender portals and internal systems
· Check submissions for accuracy, completeness, and readiness before submission
· Log key milestones including valuation dates, offers, conditions, expiry dates, and completion targets
Pipeline, Task & Deadline Management
· Maintain a live pipeline of all cases
· Monitor progress and flag delays, missing items, or risks early
· Track service levels and chase overdue actions
· Ensure nothing falls through the cracks
Compliance & File Management
· Maintain accurate, well-organised client files
· Follow firm policies, procedures, and data protection (GDPR) requirements
· Support brokers with compliance checks and audit-ready files
· Ensure records are complete, clear, and up to date
General Broker Support
· Inbox and email organisation (as required)
· Diary support and task prioritisation
· Basic deal research and information gathering
· General administrative support to brokers and management
Ideal Candidate
Essential
· Strong/Fluent written and spoken English
· Extremely organised with excellent attention to detail
· Comfortable chasing people politely but persistently
· Able to follow instructions accurately and consistently
· Confident using:
o Email (Outlook)
o Excel, Word, and Google Equivalents
o PDFs and document management tools
· Able to manage multiple cases at the same time
· 3+ years experience sourcing and managing cases in the UK mortgage market
Nice to Have (Not Essential)
· Familiarity with CRMs, deal pipelines, or lender portals, in particular OMS
Working Style
· Hybrid – our office is in Fleet, Hampshire
· Office hours are 9am to 3pm, Monday to Thursday
· Task-based work with clear instructions and systems
· Direct daily communication with brokers
