Being the HR & Admin Manager in a small business is a key role, and you will be the ‘glue’ across the staff and management teams. You’ll be responsible for overseeing all aspects of HR practices and processes within the organisation, as well as leading on office management tasks. This role is both strategic and hands-on, providing support and guidance to management and staff across the full spectrum of HR functions and ensuring that admin tasks are tracked and completed across the team. Your role as the HR Manager will focus on compliance with employment law, fostering a positive workplace culture, and contributing to the overall success of the business through effective people management. Your role as Office Manager will mean you are the central point of contact for all queries both external and internal; as well as the lead on ensuring all management requested tasks are tracked and completed.

Skills/ Experience:

· Professional and warm manner - excellent communication and interpersonal skills to use with staff, management and local authorities/ other relevant professionals, as you’ll be a key team member

· Experience in an HR role, ideally within a small business environment (care industry experience beneficial but not necessary)

· Strong understanding of UK employment law and interest in keeping up to date

· Ability to handle sensitive and confidential information with discretion

· Proactive, organised, and able to work independently

· Keen eye for detail, record keeping, and process/ efficiency creation

· Problem-solving skills and a pragmatic approach to HR and Admin issues

· Strategic thinking e.g. considering multiple business needs and solutions as part of the management team

· Ability to work under pressure at times, and regularly manage multiple important priorities

· Ability to ‘manage up’ and share regular key management updates effectively

· Team & Relationship management skills are key for ensuring proactive, positive interactions across all levels

· Adaptability and willingness to manage a broad range of HR and Admin activities

· IT literacy (we use multiple online systems and email)

· Familiarity with admin, payroll and HR systems advantageous

· Relevant HR qualification (e.g., CIPD Level 5 or equivalent) beneficial but not necessary

Main Duties (not in any order of priority):

· Employee Relations: Serve as primary point of contact for employee queries and concerns. Foster a positive working environment by addressing issues promptly and fairly in line with company policies and culture

· HR processes and best practices: Create and maintain HR processes to ensure efficiency and compliance with necessary regulations and best practices, including annual audits

· HR Policy Development: Develop, implement, and maintain HR policies and procedures tailored to the needs of a small business

· Recruitment and Onboarding: Manage the end-to-end recruitment process, including job descriptions, postings, screening, interviewing, hiring, and onboarding of new employees

· Performance Management: Develop and oversee performance review processes including quarterly check ins, and annual appraisals, as well as ad hoc performance management as needed. Support managers in addressing performance issues and identifying development needs.

· Training and Development: Manage the annual training plan and records. Identify/ coordinate training needs to support employee growth and business objectives.

· Payroll Management: Support payroll processes and employee benefits, liaising with management as necessary.

· Compliance: Ensure the business adheres to all relevant employment laws and regulations, keeping up to date with changes and implementing necessary policy updates.

· Record Keeping: Maintain accurate and confidential records in compliance with data protection regulations for employees and internal processes e.g. audits. Ensure paper records are digitised and saved as per GDPR

· Create weekly team meeting minutes/ actions in online system and distribute within 24 hours every week; following up to ensure relevant actions are closed and logged

· Create process documents for all duties to ensure transparency and auditability

· Create staff guides for processes e.g. systems, IT, onboarding, recruitment, staff files, policy management

· Being the main point of contact for all Living Horizon enquiries, both internal and external

· Maintaining the office environment (filing, cleaning, ordering items etc)

· Health and Safety: Support and manage the implementation and monitoring of health and safety policies and procedures e.g. audits

· Support and maintain a culture of performance and excellence in all your work, with a cost-conscious and best practice mindset.

· Share regular updates to support business excellence e.g. within the management team, or coordinating regular ‘All Staff’ meetings

· Support an open, positive and inclusive working culture by developing good working relationships with colleagues.

· Any other relevant duties as requested by the management team
