As our business continues to grow, we are looking for an organised, reliable and proactive Office Administrative Assistant to work closely with the Company Manager and support the day-to-day administration of the business.
This is a varied and responsible role covering office administration, recruitment, HR support, payroll preparation, staff scheduling and clinic operations. It is particularly suitable for someone who is well organised, enjoys working with people and is keen to develop broader business administration and management skills.
Key Responsibilities
· Assist with recruitment, including posting job advertisements, reviewing applications, arranging interviews and communicating with candidates.
· Prepare and maintain employee records, HR documents, contracts and new starter/onboarding documentation.
· Maintain accurate records of staff holidays, sickness absence, attendance and other employee information.
· Collect and organise staff working hours, timesheets and attendance records for payroll preparation.
· Prepare, maintain and update staff rotas, and assist with arranging staff cover when required.
· Organise and maintain company documents, Excel spreadsheets, electronic files and administrative records.
· Respond to routine emails and assist with general internal and external communications.
· Support the smooth day-to-day administration and operation of the clinics.
· Assist the Company Manager with other administrative, HR and operational duties as required.
Who We're Looking For

. A bachelor’s degree or postgraduate qualification
· Have strong organisational and time-management skills.
· Are responsible, reliable and able to work with attention to detail.
· Are careful and accurate when handling documents, records, figures and staff information.
· Are confident using Microsoft Word, Excel, email and general office systems.
· Can manage multiple responsibilities and prioritise tasks effectively.
· Can handle employee, personal and confidential company information professionally and discreetly.
· Have good written and verbal communication skills.
· Are able to communicate and coordinate effectively with colleagues, candidates and external contacts.
· Can work independently, use initiative and solve routine problems.
· Are willing to learn, develop new skills and take on greater responsibility over time.
· Have English proficiency equivalent to IELTS 6.5 or above.
Previous experience in office administration, HR, recruitment, payroll support, healthcare or clinic administration would be an advantage, but we also welcome applications from capable and motivated recent university graduates who demonstrate strong organisational ability and a willingness to learn.
