Full job description

Join the Victor Phillip Dahdaleh Heart & Lung Research Institute (VPD-HLRI), part of the University of Cambridge, and play a key role in supporting the day-to-day operation of a large and busy research environment.

With around 450 staff, modern laboratory space, a Clinical Research Facility, and a wide range of meeting and event spaces, the Institute is an active, complex and collaborative place to work.

As Institute Administrator, you will sit at the centre of the Institute's administrative and operational activity. Working across facilities, front of house and administrative services, you will help ensure that systems, information and processes run smoothly and efficiently. This is a varied and hands-on role where you will balance coordination, problem-solving and service delivery.

The role involves leading the management and development of digital administrative systems across the Institute. You will take ownership of cloud-based record keeping, ensuring documents, compliance records and operational information are stored, organised and maintained effectively. You will also identify opportunities to improve how systems are used, developing practical solutions that enhance efficiency, accessibility and consistency.

Alongside this you will line manage the reception team. You will ensure a consistent, professional and welcoming service, while coordinating cover, supporting team development and responding to day-to-day issues that arise.

You will also support a wide range of operational processes, including maintaining compliance and governance documentation and ensuring information flows effectively across the Institute. The role requires someone who can bring structure to complex activity, linking together different operational areas and ensuring that processes are clear, reliable and well-managed.

We are looking for someone who is organised, proactive and confident working with digital systems. You will be comfortable managing structured information, maintaining accurate records, and using cloud-based tools to support day-to-day operations. You will also need to manage competing priorities, use your initiative, and take a practical approach to resolving issues and improving processes.

Experience of supervising or managing staff is required, along with a strong administrative background. You should be confident using standard IT systems such as Outlook, Word and Excel, and eager to further develop digital ways of working across the Institute.
