About the Role…
The Stores Person at the Derby Depot is responsible for the efficient storage, handling, and control of materials and equipment to support depot operations.
The purpose of the role is to ensure stock is well-organised, accurately recorded, and readily available for use by the operations and yard teams, while maintaining a safe, clean, and compliant working environment.
By effectively managing inbound goods, inventory, and storage areas, the Stores Person helps optimize depot productivity and contributes to high standards of Health & Safety, stock accuracy, and site housekeeping.
Key Responsibilities…
Storage & Organisation: Ensure all materials, equipment, and supplies are stored safely and efficiently in designated locations. Maintain orderly stores and yard layout to optimise space and easy access to stock.
Stock Control & Inventory Accuracy: Monitor and manage stock levels through regular cycle counts and stock audits, promptly recording stock usage and movements. Use inventory systems or stock sheets to maintain accurate records of stock levels, assisting with reordering to prevent shortages and ensure required materials are always available.
Goods Inwards (Deliveries): Receive and inspect incoming goods against delivery notes/purchase orders for accuracy and quality. Safely unload deliveries (using a Telehandler/Counterbalance Truck or other mechanical handling equipment as required), check for any damages or discrepancies, and document receipts according to company procedures.
Goods Out & Stock Distribution: Organise and prepare orders or stock requirements for dispatch to internal team. Issue materials or equipment to workshop, yard, or site teams as needed, ensuring proper documentation of all stock leaving the stores.
Record Keeping: Maintain clear records of all stock movements, goods received, and goods issued using the company’s inventory management system. Ensure all documentation (delivery notes, stock issue forms, requisitions) is properly filed and up to date for audit and compliance purposes.
Waste Management: Oversee the segregation and disposal of waste materials (e.g., packaging, scrap materials) in line with company policy and environmental regulations. Coordinate recycling and waste removal to keep the yard and stores area safe and clutter-free.
Equipment and Telehandler/ Counterbalance Operation: Operate a Telehandler/Counterbalance truck and other material handling equipment safely and competently to move, load, and unload stock. Perform daily equipment checks (e.g., Telehandler/Counterbalance pre-use inspections) and promptly report any faults or maintenance needs.
General Depot Support: Work closely with the Yard Foreman and operations team, providing timely support to ensure effective workflow (e.g., having required parts and units ready for projects or dispatch). Assist with other general yard or depot tasks as assigned by management, demonstrating a flexible, team-oriented approach.
Health & Safety Responsibilities…
- Adhere to all company Health & Safety (H&S) policies and safe working procedures at the depot, including manual handling guidelines, safe forklift operation, and personal protective equipment (PPE) requirements.
- Maintain a clean, tidy, and hazard-free stores environment, practicing good housekeeping and actively implementing workplace organisation standards to reduce risks.
- Conduct basic H&S inspections and equipment checks (e.g., daily Telehandler/Counterbalance safety checklists, racking inspections and any other designated checklists) as instructed, reporting any hazards, damages, or safety concerns to the Yard Foreman or management promptly.
- Participate in safety training and initiatives, toolbox talks, and ensure any incidents, near-misses, or non-conformities are reported and documented according to company procedures.
- Support depot compliance activities by ensuring all operations in the stores/yard comply with relevant Health & Safety legislation
Person Specification & Requirements…
Essential Criteria:
- Experience & Knowledge: Previous experience working in a stores, warehouse, or depot environment performing stock control, goods in/out, or similar operational duties. Good understanding of basic inventory management and warehouse processes.
- Health & Safety Awareness: Knowledge of safe working practices and relevant Health & Safety regulations in a warehouse/depot setting, including manual handling techniques, safe operation of equipment, and proper use of PPE. Commitment to maintaining a safe work environment and following all H&S guidelines.
- Skills & Attributes: Excellent attention to detail and high degree of accuracy in all tasks (e.g., counting stock, recording data). Strong work ethic and reliability, with good time management and punctuality. Effective communication skills, able to work well within a team and liaise with suppliers or drivers professionally. Initiative and problem-solving ability, with a proactive approach to improving processes and foreseeing needs (forward thinking). Good organisational skills to manage multiple tasks and maintain an orderly stores area.
- Other Requirements: Physically fit and capable of safely lifting or moving moderately heavy items (in line with manual handling guidelines). Basic IT literacy (ability to use email and simple computer systems or stock management software for record-keeping).
Desirable:
- Qualifications: Possession of a current Counterbalance/Telehandler, Forklift Truck (FLT) operator’s license (in-date certification). Any relevant warehousing or logistics qualifications (e.g., NVQ Level 2 in Warehousing) or certified training in inventory management.
- Experience: Strong track record of managing a busy stores/yard environment, including experience maintaining stock accuracy and supporting compliance requirements. Familiarity with stock control software or enterprise resource planning (ERP) systems.
- Additional Skills: Formal Health & Safety training or certification (such as a valid First Aid certificate or completed courses in manual handling or fire safety). A full UK driving licence (for occasional use of company vehicles or off-site collections/deliveries).
Performance Measures…
Performance in this role will be evaluated based on key operational and compliance targets, including:
- Inventory Accuracy & Availability: Maintaining a high level of stock accuracy (minimal discrepancies between physical stock and recorded inventory) and ensuring timely availability of required materials to prevent stock-outs or delays in operations.
- Housekeeping & Safety Standards: Consistently upholding depot housekeeping standards — keeping all storage areas clean, orderly, and free of hazards — and full compliance with Health & Safety procedures (e.g. zero preventable accidents or incidents, positive safety inspection results).
- Process Compliance & Efficiency: Adherence to all company procedures and regulatory compliance requirements in stores operations (e.g., proper documentation for goods in/out, correct labelling and storage of items, waste disposal in line with regulations). Efficient handling of goods-in processing and stock transactions to meet operational deadlines and support production/yard needs in a timely manner.
