Finance & Office Manager
Location: Gasworks Dock Partnership (GDP), London – Office Based
Hours: 36 hours per week-5 days
Contract: Permanent
Salary: £33,075 per annum
Reports To: Chief Executive Officer (CEO)
Purpose of the Role
As the organisation continues to evolve its business delivery model and expand its impact, the Finance & Office Manager will play a critical role in ensuring the organisation's financial sustainability, operational effectiveness and strategic growth. The role combines financial management, business planning, budgeting, forecasting, grant compliance, corporate relationship management and office administration.
This is an office-based role requiring regular in-person attendance.
Budgeting, Forecasting & Financial Planning
· Lead the preparation, monitoring, reporting and review of annual budgets across the organisation.
· Develop and maintain financial forecasting models to support operational and strategic decision-making.
· Produce financial scenario planning, variance and sensitivity analyses to assess risks and opportunities.
· Monitor organisational liquidity and cash flow requirements, ensuring adequate resources are available.
· Provide financial insights and recommendations to the CEO and Board.
· Monitor financial performance against budgets and identify areas requiring corrective action.
· Produce long-term financial forecasts to support organisational sustainability and growth.
· Develop financial models to support grant applications, investment decisions and new business opportunities.
Financial Management & Reporting
· Manage all day-to-day financial operations using Xero accounting software.
· Ensure accounts payable and accounts receivable processes are completed accurately and in a timely manner.
· Match, batch, code and process purchase invoices against budgets, projects and funding streams.
· Raise sales invoices and proactively manage debt collection and credit control processes.
· Perform regular bank reconciliations and investigate discrepancies.
· Maintain accurate financial records and supporting documentation.
· Work closely with GDP's Accountant to prepare monthly management accounts and financial reports.
· Support preparation of Balance Sheet, Income & Expenditure, Cash Flow and Board reports.
· Assist with year-end accounts preparation and external audit requirements.
· Ensure statutory and regulatory financial filings are completed accurately and on time.
· Prepare, reconcile and submit VAT returns in accordance with HMRC requirements, ensuring accurate record keeping and compliance with all relevant regulations.
· Maintain VAT records and monitor VAT treatment across income and expenditure streams, liaising with the consultant as required.
Grant Management & Funding Support
· Prepare financial information and reports required by grant funders and stakeholders.
· Monitor restricted and unrestricted funding allocations and expenditure.
· Ensure compliance with grant conditions, reporting requirements and funding agreements.
· Support the CEO in preparing grant applications, funding bids and business cases.
· Contribute financial forecasts, budgets and supporting documentation for funding applications.
Corporate Partnerships & Volunteer Engagement
· Develop and maintain relationships with corporate organisations, community groups and stakeholders.
· Identify opportunities to grow GDP's corporate volunteering programme.
· Coordinate volunteering events and activities with partner organisations.
· Act as a key point of contact for corporate partners.
Office & Operational Management
· Support the efficient operation of GDP's office and administrative functions.
· Ensure the effective delivery of back-office services and organisational support functions.
· Develop and improve administrative processes, systems and controls.
· Maintain organisational records, policies and operational documentation.
Events, Fundraising & Organisational Support
· Support the planning, coordination and delivery of organisational and community events.
· Undertake additional duties, projects and responsibilities as may be required from time to time to support organisational priorities, business needs and the long-term success of Gasworks Dock Partnership.
· Assist the CEO and Board members with fundraising activities and stakeholder engagement.
· Support the preparation of reports and documentation required by funders, partners and stakeholders.
Person Specification - Essential
· Experience preparing management accounts, budgets and financial reports.
· Experience in budgeting, forecasting, cash flow management and financial modelling.
· Excellent organisational, analytical and stakeholder management skills.
· Experience managing finance functions within a charity, social enterprise, not-for-profit organisation or SME environment.
· Strong working knowledge of Xero or similar accounting software.
Person Specification - Desirable
· AAT qualified, part-qualified accountant or equivalent experience.
· Experience working with charities and Boards of Trustees.
· Experience supporting fundraising activities and grant applications.
· Knowledge of charity governance, compliance and reporting requirements.
· Experience preparing, reconciling and submitting VAT returns, with a good understanding of UK VAT regulations and compliance requirements.
