Position: Events Supervisor
Responsible to: Events Manager and Assistant Events Manager
Responsible for: Casual Events Staff, Agency Staff and Contractors whilst on duty.
Hours: We are committed to providing you with a minimum of 16 hours per week
Core Statement:
To support the successful planning, preparation, delivery and breakdown of all events at Magna, ensuring excellent customer service, operational efficiency and the highest standards of presentation. The Events Supervisor will take responsibility for the day-to-day coordination of events, supervising staff and contractors, liaising with clients and ensuring events are delivered safely and professionally.
Key Tasks:
· Prepare, set up and present corporate and private hire event spaces, ensuring layouts, equipment and client requirements are completed accurately and to the highest standards.
· To act as Duty Events Supervisor when required, taking responsibility for the safe and successful delivery of events from set-up through to breakdown.
· Work with the catering team to ensure food is served to the highest possible standards.
· Coordinate the set-up, operation and breakdown of events, ensuring venues are returned to operational standards.
· Supervise casual event staff and contractors during events, allocating duties and ensuring high standards of customer service.
· Work with the Corporate Events Team to ensure that the function summary sheet is obtained the week prior, and to be aware of the detail of events and any last-minute conferences or changes to an existing event.
· Ensure that signatures are obtained for any extras or waivers that are required on the day and communicate any additional charges or changes to the Events Manager.
· Ensure the security of Magna’s premises and property during events, set-up and breakdown periods, liaising with contractors and external companies as required.
· As required ensure that the End of Event Lock Up Checklist (attached) has been completed including the switching off of all heating and lighting.
· Communicate effectively across Magna’s departments to ensure the effective delivery of events and smooth working relations.
· Ensure all event equipment is used safely, correctly and maintained in good working order, reporting faults promptly.
· Assist in maintaining stock control and inventory of event furniture, equipment, consumables and event supplies.
· Support catering, bar and front of house teams to ensure the smooth delivery of events.
· Ensure that event equipment is stored in a tidy manner and any damage or function failure is reported.
· To assist in other areas of the business as required.
· To ensure that the image of Magna is presented to the highest standards at all times.
· Carry out pre-event venue inspections.
· Liaise professionally with clients, suppliers and contractors throughout events.
· Report maintenance issues affecting event operations.
· Ensure event spaces comply with Health & Safety and fire safety requirements.
· Assist with furniture movement and room layout changes.
· Support the implementation of Event Management Plans and Risk Assessments.
· Complete event paperwork and handover notes where required.
General Tasks:
· To undertake training to enable the effective discharge of duties and responsibilities, in particular those associated with food hygiene.
· To ensure compliance with Health & Safety, Fire Safety, Manual Handling, Food Safety and all Magna operating procedures.
· Ensure that other operating procedures and company policies and practices are followed.
· Attend training courses as per Magna requirements.
· To work as part of the wider Magna team, sharing resources and improving the quality of the service delivery to all visitors.
· Make the best use of time to ensure the optimum running of the whole business.
· Any other duties in connection with the position commensurate with the grade of the position.
· To provide support in the evenings and at weekends as required.

ADDITIONAL INFORMATION:
You may be asked to work occasional evenings, weekend and Bank holidays. Some overnight shifts may also be required.

WAGE
The wage for this role is from £13.12 per hour.
