B2B Sales & Administration Administrator

Salary: £25,500 – £29,000 per year, depending on experience
Location: Llanishen, Cardiff
Hours: Monday to Friday, 8:00am – 5:00pm
Job Type: Full-time, Permanent

About the Role

Rockall Safety Equipment Ltd is looking for an experienced Sales & Administration Administrator to join our busy sales team in Llanishen.

This is a strong sales administration, data-entry and customer service role. The successful candidate must be highly organised, exceptionally accurate and confident working with CRM databases and computerised systems.

You will provide essential administrative support to the sales team and deal directly with business customers and suppliers. Your responsibilities will include preparing quotations, processing customer purchase orders, raising supplier purchase orders, maintaining accurate CRM data and coordinating deliveries.

You will also handle customer and supplier queries, monitor delivery dates and liaise with couriers and internal teams to ensure orders are processed and delivered efficiently.

Previous B2B sales administration or customer service experience is essential, together with excellent attention to detail and strong computer skills.

Key Responsibilities

Raising accurate quotations using the company's CRM system.
Processing and accurately entering customer purchase orders.
Raising purchase orders with suppliers.
Updating customer orders and CRM records throughout the sales and delivery process.
Maintaining accurate and up-to-date customer, product, pricing and order information.
Monitoring supplier orders and updating expected delivery dates.
Keeping customers informed of order and delivery progress.
Liaising with suppliers regarding stock availability, order confirmations and delivery dates.
Handling customer queries relating to orders, quotations, deliveries and products.
Liaising with couriers and delivery companies to arrange and monitor deliveries.
Investigating delivery issues, delays, shortages and other customer queries and ensuring they are resolved promptly.
Assisting with customs and import/export administration where required.
Ensuring all relevant order, delivery and customer information is accurately recorded within the CRM system.
Maintaining high levels of data accuracy across customer and sales records.
Supporting the sales team with general sales administration and customer service.
Working closely with colleagues, suppliers and customers to ensure orders are processed efficiently and accurately.
Identifying any potential issues with orders or deliveries and escalating them appropriately.
Providing a consistently high standard of customer service.
Carrying out general administration duties as required.

Essential Experience & Skills

Strong previous sales administration or administration experience – essential.
Previous B2B customer service or sales support experience – essential.
Excellent and accurate data-entry skills – essential.
Experience working with a CRM database or similar computerised system.
Excellent attention to detail.
Strong IT and computer skills.
Excellent keyboard skills.
Excellent written and spoken English.
Strong spelling, grammar and punctuation.
Excellent telephone and email communication skills.
Ability to manage multiple orders, queries and priorities simultaneously.
Strong organisational and time-management skills.
Ability to meet deadlines and work effectively in a busy environment.
Confident when communicating with business customers, suppliers and couriers.
Ability to deal with queries professionally and find practical solutions.
Experience of purchase orders, sales orders and quotations would be advantageous.
Experience dealing with deliveries, couriers or customs would be advantageous.
Positive, helpful and professional attitude.
Reliable, conscientious and committed to delivering high-quality work.
Desire to learn, succeed and progress within the organisation.
