Job Title: Operations Support Assistant
Department: Darlington Workspace
Responsible to: Centre Manager
Salary: Full Time 37hrs a week, Monday to Friday £25,877.00
Based: Business Central 4 days a week, Innovation Central 1 day a week with occasional travel to head office, other sites in the region and to events
JOB SUMMARY
The Operations Support Assistant will offer administrative and operational help to ensure the seamless running of Business & Innovation Central.
The ideal candidate will be required to co-ordinate meetings and events as well as handling customer and visitor enquiries, cover reception and help maintain the buildings.
REQUIREMENTS
· To be on a call out list along with other site staff
· Carry out main reception duties
· Assist and oversee general maintenance, liaise with contractors, place orders once approved, collate quotes and set reminders in CRM system
· Booking of room hire services, promoting and planning events for external and internal clients including social event calendar and work in conjunction with our marketing team and social media company. Arrange room set up and clearance.
· Manage external and internal client details and bookings, inputting enquiries
· Processing of payments and invoicing – including arrears
· Administration and operational support
· Flexible with regard to duties within the business and when required to support other roles for sickness and holiday cover
· Competent user of business packages including Microsoft Office, basic understanding of IT/Telecoms provision and to assist in the programming and set up of such
· Supporting building operations, collate stats, reports and complete testing as required in line with Health & Safety
· Excellent communication skills, able to communicate effectively both verbally, visually and in writing
· Attend external network events to represent Darlington Workspace and the Northeast BIC
· Impeccable customer service skills as you will be dealing with all levels of personnel and stakeholders.
· Ability to multi-task
