Full job description

Job Title: Part-Time Office Administrator & Bookkeeper
Location: Renaissance Homes Limited, Cound Hall Estate Office, Cound, SY5 6AH
Contract Type: Permanent, Part Time
Working pattern: 5 shorter days but flexible by agreement
Salary: £26,000–£28,000 FTE, pro-rated for approximately 20 hours per week*
Reports to: Project Manager
Anticipated Start Date: 02 September 2026

*Based on a 40-hour full time week.

About Renaissance

Renaissance Homes is a family-owned property business involved in property development, rental and estate management.

Based at our estate office at Cound Hall, we work across a range of property and estate matters and pride ourselves on taking a practical, hands-on approach and maintaining strong relationships with tenants, contractors, professional consultants and business partners.

We are looking for an organised and capable Office Administrator & Bookkeeper to take responsibility for the day-to-day administration of the business and provide support across bookkeeping and accounts functions.

The Role

This is a varied role for someone who is highly organised, takes ownership of their work and is comfortable working independently.

The role will initially focus on managing the company’s day-to-day administration, records and correspondence, while supporting the existing bookkeeping and accounts function.

A key responsibility will be maintaining accurate records and monitoring important renewal and compliance dates across the business, including property and business insurance, vehicle insurance and MOTs, and property safety and statutory checks.

Over time, the successful candidate will take on greater responsibility for bookkeeping and financial administration as part of the company’s longer-term succession planning.

The role would suit someone with strong administrative skills, some bookkeeping or accounts experience, and a proactive approach to managing deadlines and ensuring actions are completed on time.

Key Responsibilities

Office Administration

Welcome visitors as a professional first point of contact for the office.
Manage the smooth day-to-day running of the estate office.
Handle correspondence, emails, calls and post.
Maintain organised electronic and paper filing systems.
Manage diaries, appointments and meetings where required.
Prepare letters, documents and spreadsheets.
Manage office supplies, maintenance and facilities.
Liaise with tenants, suppliers, contractors and professional advisers.
Provide administrative support to the business.
Assist with payroll, employee records and general HR administration.
Handle company, employee, tenant and financial information confidentially.

Property, Business & Compliance Administration

Maintain a central diary of key renewal, servicing, inspection and compliance dates.
Monitor property and business insurance renewals.

· Keep track of company vehicle MOTs, servicing and insurance renewals.

Maintain property compliance records, including fire, gas, electrical and other required inspections and certificates.
Arrange inspections, testing, servicing and renewals with contractors, insurers and advisers.
Ensure certificates and compliance records are properly maintained and readily accessible.
Follow up outstanding actions and ensure renewals and checks are completed before deadlines.

Bookkeeping & Accounts

Depending on experience, responsibilities will include or develop to include:

Process purchase and sales invoices, receipts and payments.
Maintain accurate financial records and supplier accounts.
Carry out bank reconciliations.
Undertake double-entry bookkeeping using Sage and/or QuickBooks.
Assist with VAT returns and payroll administration.
Support monthly and annual financial reporting.
Liaise with external accountants regarding year-end accounts and other financial matters.

Training and support can be provided as the successful candidate develops their bookkeeping responsibilities.

What We’re Looking For

Essential

Strong administrative and organisational skills.
Excellent attention to detail and ability to manage deadlines.
Good communication skills and a professional manner.
Proficiency in Microsoft Office, including Excel, Word and Outlook.
Proactive, reliable and able to work independently.
Some bookkeeping or accounts experience, with an interest in developing further.
Valid UK driving licence and access to transport.

Desirable

Knowledge of double-entry bookkeeping.
Experience with Sage, QuickBooks or similar software.
Experience in property, construction or estate management.
Experience with compliance, insurance renewals, payroll or HR administration.
