Full job description

Job Title - Office Administrator

Location: Trafford Park, Manchester (M50 1DE)
Hours: Four days a week , 4 hours per day (Office Based)
Reporting to: Business Support Director

About the Role

We are looking for an organised, proactive and highly motivated Office Administrator to join our busy team based at our Trafford Park office. This is a varied and fast-paced administration role where no two days are the same.

Working directly alongside the Business Support Director, you will play a key role in ensuring the smooth running of the business by supporting multiple departments including HR, Payroll, Fleet, Property, Compliance, Finance, IT and General Administration.

This is an excellent opportunity for someone who enjoys taking ownership, solving problems and working across a wide variety of business functions.

Key Responsibilities

Office Administration

Manage all incoming and outgoing post.
Maintain office supplies and stationery for multiple office locations.
Order business cards, branded materials and employee workwear.
Provide general administrative support across the business.
Maintain accurate company records and documentation.

Business Support

Report directly to the Business Support Director.
Collate information and prepare reports for management.
Assist with business administration projects.
Support with confidential documentation and company records.

Payroll & HR Administration

Assist with payroll administration and provide payroll information.
Support HR administration.
Collate employee information for the Business Support Director.
Assist with onboarding and general employee administration where required.

Property & Facilities Management

Coordinate urgent maintenance issues across company depots, including:
Plumbing
Electrical
Building repairs
General maintenance
Liaise with contractors to ensure repairs are completed efficiently.

Fleet & Vehicle Administration

Manage all company vehicle administration.
Ensure company vehicles remain taxed and MOT compliant.
Deal with vehicle-related issues for employees with company cars.
Report motor vehicle accidents to the company's insurers.
Liaise with insurance providers throughout the claims process.

Compliance & Audits

Assist with internal and external company audits.
Support finance audits.
Support accreditation audits.
Ensure documentation is maintained to company standards.

IT Coordination

Work closely with the company's external IT provider.
Coordinate IT support requests.
Assist with ordering and setting up IT equipment where required.

Travel & Event Coordination

Book hotels and travel for London-based employees attending company events.
Arrange accommodation for the sales team visiting the Manchester office.
Organise company social events, including:
Summer Company Event
Christmas Company Event

Incident Administration

Process all company Penalty Charge Notices (PCNs).
Collate information relating to stolen machinery and provide reports to the Business Support Director.
Maintain accurate records relating to company incidents.

About You

The successful candidate will have:

Previous experience as an Office Administrator, Office Coordinator, Business Support Administrator or Office Manager.
Excellent organisational and time management skills.
Strong attention to detail.
The ability to manage multiple tasks and changing priorities.
Excellent written and verbal communication skills.
Confidence dealing with suppliers, contractors and external stakeholders.
Strong Microsoft Office skills including Outlook, Word and Excel.
The ability to work independently and use initiative.
A professional and positive attitude.
